Job
description

This is a unique
position for someone who wears multiple hats easily and loves the little
details in life. Juggling bookkeeping, box office/front of house management,
and general administration, you are hyper-organized, reliable, versatile, and
cool under pressure.

The candidate will
report to the M

anaging Director, and work closely with a core team of staff,
board members and volunteers. Duties include (but not limited to):

BOOKKEEPING

– Box office
reconciliation, payment processing, receipt issuing, banking, managing
accounts, making deposits, reviewing expense reports, and paying bills.

– Administer and
record all incoming invoices and outgoing payments

– Deal with vendor
inquiries and payment requests.

– Recommend payments
based on cash flow and payment requirements.

– Administer payroll
and benefits, manage sick/holiday time, and ensure prompt and accurate
reporting to all government agencies for withholding and government taxes,
source deductions and other items.

– Maintain the
financial reporting system and complete monthly/quarterly reports as required
by the Managing Director and Treasurer.

BOX OFFICE
MANAGEMENT

– Manage complete
box office setup including building seating configurations on the online
ticketing system.

– Develop
relationships and maintain positive rapport with ticket vendors.

– Manage all ticket
and merchandise sales, leading up to and during the festival, provide sale
reports and event audits, reporting sales, discounts, holds, complimentary
tickets and vouchers, inventory.

– Build and
supervise box office and front-of-house personnel and volunteer crew, providing
necessary training and information to ensure team is properly trained in regard
to policies and procedures.

– Staff the box
office, managing walk-up sales, will-call, patron inquiries.

– Lead front of
house team to efficiently coordinate positive audience experiences at events,
liaising with box office attendants, front of house, and volunteers.

OFFICE
ADMINISTRATION

– Position includes
general office management (communications, post/courier, phone/internet,
hardware/software systems, printers, tech support, supplies, plants, cleaners,
security, etc.)

– Investigate and
recommend new equipment systems/solutions for a smoother running office
environment (printer, phone system, etc.)

– Oversee and manage
the day-to-day operations of the computer system, including the regular back up
of data.

– Managing
software/hardware equipment, applications, licenses and accounts, maintain a
guide, and setup new employees.

Requirements

– Minimum of 3-5
years bookkeeping and/or box office experience

– Proficient with
computers (Mac), online applications, and Office (Word, Excel)

– Cool under
pressure and quick on feet with cash and calculations

– Must be able to
work on weekdays and weekends (day and evening) in addition to regular office
hours as production calendar requires

– Non-profit,
charity and/or arts organization experience an asset.

– Drivers license an
asset

– 3 strong
references

This is a full-time,
six-month contract to begin in mid-February with the potential to become a
year-round position with benefits. Generally, office hours are Mon-Fri
10am-6pm, with evenings/weekends required during production time (particularly
July).
