have legal, engineering or business backgrounds and help senior decision makers
and their organizations adapt to and thri

ve in a climate-adjusted and
carbon-constrained world. Currently, our team consists of professionals in both
Toronto and Vancouver. We are recruiting for a part-time remote Digital
Executive Assistant with at least three years’ administration experience. As
our team grows, there may be potential for this role to become full-time, and
for the role to move from “digital” (working from your own location), to
“physical” (working from our Toronto office). Time commitment is expected to be
approximately two days per week to start with the potential to expand to full
time within six months.

The qualities mentioned below are in addition to experience gained in previous
administrative roles and assumes excellent general EA skills (e.g., diary
management, inbox gatekeeping, advanced PowerPoint and Word skills, etc). While
we’re looking for someone who has the same character and skills that we do,
we’re much more interested in aptitude and raw talent than experience and
educational certificates.

MUST-HAVES:

Organized and detail-oriented

We want someone to help keep our team organized, across various projects,
clients and time zones. We strive for top quality work products which means any
content written, emails drafted, reports designed or edited must be done with
attention and care.

Lives technology

We want someone that uses technology daily as a part of their life to
communicate and connect. They use the internet regularly and effectively in
their personal and professional lives. We’re looking for people who, for
example, blog, use social networks, love gadgets and are excited by technology.

Raw intelligence and problem-solving

We’re looking for people who are bright problem-solvers. To us, intelligence is
defined as being knowledgeable and confident in that knowledge. We’re looking
for fixers – people who can’t help but suggest new ways of working or
networking without having to be asked. They should be emotionally intelligent
with the ability to recognize different personality types, able to ‘read’
conversations and tailor their communication style appropriately.

Is a genuinely nice person

will possess an ‘entrepreneurial spirit’. By that, we mean taking an interest

breath climate change, an interest or background knowledge of climate change
would be helpful, but not required.

NICE-TO-HAVES:

Is creative

Our ideal candidate will have a demonstrated aptitude for design whether
graphic, written or technological. They should have some experience and
interest in creative software such as Adobe Acrobat, WordPress and perhaps
infographic design. They will work to expert level in Microsoft PowerPoint and
be able to not only create elegant presentations but excel at template design.
They will possess practical knowledge to enable them to choose the right
software for the job at hand. For example, they might choose PowerPoint for
clients who need to edit or choose InDesign for more demanding design in final
layout. Ideally, the perfect candidate will have an aptitude or interest in
building and maintaining websites and want to deepen their skills in this area.
We have a lot of knowledge to transfer to the right person, so the ability to
grasp new concepts and to be genuinely curious will always please us.

Has an interest in social media

Our ideal candidate will have a keen interest in social media and will be
exceedingly familiar with Twitter, LinkedIn and Facebook. They will have
previous experience or the desire to learn how to best use these products in
business and for their clients. Hunting for interesting and useful content on
the web will excite them. Loading links into social media feeds, tweeting and
interacting with the public is something they look forward to and enjoy.

Extra skills

We are looking for a core team member to help us grow. That means not only an
amazing EA, but also something extra. Therefore, we are looking for someone
with experience in something ‘extra’ we do for our clients. Hard-core nerd
skills are extremely desirable (e.g., website design and maintenance, graphic
design for print and web, SEO, data analysis) as is geek knowledge (e.g.,
blogging, SEO, image manipulation, social media management) as well as
non-technical skills (marketing and PR).

The support we require includes the following key competencies in
administration:

Providing excellent general administrative support:
• Complex multiple diary management
• Monitoring/gatekeeping multiple inboxes with a keen eye for detail
• Creation and efficient distribution of accurate meeting minutes
• Creation and maintenance of company presentations and sales proposals
• Responding to external queries both written and verbal in a professional,
sensible and logical manner
• Proofreading and editing documents, newsletters and presentations
• Scanning and electronic filing, using cloud-based document storage
• Data entry, database management as well as working with online CRM systems
• Management and submission of expenses
• Ordering office consumables in a cost effective manner

Teamwork:
• Continuous professionalism and confidence when speaking to clients and
contacts who may include government officials and corporate decision makers
• The ability to make effective decisions with limited direction
• The ability to handle highly confidential information with the utmost
discretion (you may be required to complete enhanced security checks and sign
non-disclosure agreements)
• Understanding the communication styles of others and having the confidence to
tailor your language and communication accordingly
• The ability to quickly ‘think outside the box’ to add value to clients when
completing tasks, most of which are incredibly varied

Travel and entertainment:
• Organisation of domestic and international travel arrangements, working in
the relevant time zone as required
• Seamless arrangement of meetings and events

IT skills:
• Advanced to expert user of Microsoft Office applications (including Outlook),
Adobe Acrobat Pro, Mac Mail and iCal as well as Skype
• Previous experience working with Mac OS and Mac versions of popular
applications
• Previous experience with cloud-based applications such as Google Apps for
Work (including Google Drive), Dropbox, and Insightly

Working in a remote environment:
• A dedicated and quiet office space within your home with high-speed broadband
and a desk based telephone
• The ability to think on your feet with regards to IT issues or challenges
• Excellent time management and prioritisation skills, with experience of
juggling conflicting priorities
• The ability to manage your own demanding workload with minimal supervision
• Self-discipline, motivation and the ability to manage external distractions
are key
• Due to the nature of our business, there may be times when you will be
required to provide support outside of our core hours of 8:30am – 5:30pm

You must be able to provide references with regards to your past EA employment
(at least three years) and may be asked to demonstrate your abilities via
online testing.
