We are currently seeking a qualified candidate to work with our Administration Team.
You should have a background in bookkeeping and be proficient with MS Office
Word, Excel and Outlook, and have an aptitude for learning new computer
programs (Prism has custom software). Ideal candidates thrive under the
challenge of deadlines, superior time and task management skills and have an
excellent eye for detail.

The ideal candidate will have an interest in energy efficiency and
sustainability.

Responsibilities

Project Administration
• Coordinate project setup and maintain/update information as required with
customized software
• Liaise with clients to ensure project billing and contact information is
complete and correct
• Ensure proper project documentation is received, reviewed and recorded
• Work with Project Managers to budget time for project team
• Prepare and analyze assorted project and financial reports

Bookkeeping
• Track Accounts Payable and allocate to project expenses, when applicable
• Prepare monthly invoicing for 100+ projects
• Processing and following up with Accounts Receivable (including entering
payment information)
• Review and enter project expenses
• Reconcile corporate credit card charges
• Reconcile petty cash

Office Support
• Provide relief for receptionist and other project administrators (managing
phone calls, guests and couriers, maintaining office equipment and supplies)
• Quality control of staff time entries and expenses
• Update weekly meeting reports

Qualifications and Experience
• Degree or diploma in bookkeeping or similar
• 2+ years’ experience bookkeeping and office administration
• Exceptional organizational and communication skills
• Detail-oriented
• Solid knowledge of Microsoft Office
• Ability to manage multiple tasks and deal with changing priorities
