SAFEGUARDING:
Level
3 – the responsibilities of the post may require the post holder to have
regular contact with or access to children or young people
PURPOSE
OF POSITION:
To
provide administration/operational support to the Administration Co-ordinator,
responsible for supporting the fulfilment of administration procedures and
implementing administration policies in accordance with SCI policies and
practices.
KEY
AREAS OF ACCOUNTABILITY:
  • Ensure
    that all staff and visitors are well briefed on the administrative
    procedures and systems in place in the organisation.
  • Arrange
    and follow up on International travel, visa applications for staff,
    visitors and consultants ensuring that all relevant documents have been
    provided and liaise with the government as required
  • Prepare
    monthly reports (Visa, work permits, office utilization supplies,
    communication allowances etc.)
  • Coordinate
    and systematically manage internal and external office communications
  • Responsible
    for facilitating arrangements for conferences, meetings, workshops etc.
  • With
    support from the administration coordinator ensure office policies and
    procedures are disseminate and adhered to by staff
  • Ensure
    that contractual agreements of office premises and guest houses are
    renewed on time and properly implemented.
  • Initiate
    payments for administration services – suppliers, water bill, electricity
    bill, telephone bills, fuel, Lunch bills etc;
  • Collaborate
    with the Administration Co-ordinator to ensure compliance with appropriate
    health and safety standards
  • Manage
    office stationery and supplies
  • Distributes
    incoming and outgoing correspondences;
  • Update
    information on travel movement for staff, visitors etc. on weekly basis
  • Systematically
    maintain files of hard and electronic documents related to administration
  • Plan
    and supervise the work of cleaning staff to ensure that the office is
    clean and well maintained at all times…
  • In
    the absence of the reception intern ,manage the reception of visitors to
    the office and deal with their queries
  • Perform
    any other duties as directed by the line manager
  • Representing
    the principles and work of Save the Children to NGOs and INGOs,
    government, and other stakeholders when required;
  • Together
    with others, ensure compliance with and promoting all SCI policies such as
    Code of Conduct, Child Safeguarding, Whistle blowing, Fraud, and Health
    and Safety.

QUALIFICATIONS
AND EXPERIENCE:
Essential:
  • Higher
    diploma in administration or relevant professional experience
  • At
    least 1 year proven work experience in administration within a busy
    working environment such as private company or International NGOs
  • Good
    communication (verbal and written) and reporting skills
  • Attention
    to detail, ability to follow procedures and meet deadlines
  • Ability
    to work under pressure to meet tight deadlines
  • Team
    player, collaborative and capable of building working relationships across
    all levels
  • Demonstrated
    willingness to learn
  • Proficiency
    in working with computers particularly spreadsheets and word processing
  • Ability
    to work within a multi-cultural setting
  • High

:
Any
employee, consultant, contractor or the supplier undertaking an activity on
behalf of SCI must sign the Child Safeguarding – Declaration of
Acceptance  Form
] and comply with the SCI’s Child Safeguarding Policy
which is a statement of SCI’s commitment to preventing abuse and protecting
children with whom it comes into contact. 
This
extends not only to children with whom SCI and its partners work directly, but
also includes children whom staff are responsible for.  SCI believes that
the situation of children must be improved through the promotion of their
rights supported and demonstrated by all members of staff. Save the Children
International’s Code of Conduct sets out the standards which all staff members
must adhere to.
