1.       BACKGROUND
Right To Play is a global organization, using the
transformative power of play to educate and empower children facing adversity.
Through playing sports and games, Right To Play helps over one million children
learn through play to create better futures, while driving lasting social
change in more than 20 countries each week.
In 2007,
Right To Play partnered with the Department of Foreign Affairs, Trade and
Development (DFATD, formerly CIDA) to implement Basic Education through Sport
and Play for Children and Youth in West and Francophone Africa: Play to Learn
reaching over 200,000 children in Benin, Ghana, Liberia, Mali and Rwanda. The
results of Play to
Learn
demonstrated the power of Sport and Play for Development and
Peace (SPDP) to transform the way that teachers teach, students learn, and
communities interact with children and youth. The success of this, and the
subsequent Advancing
Health, Education and Development
(AHEAD) program(s) also
positioned the Government of Canada and Right To Play to lead the way in
solving the critical education challenges that confront the world today.
The
DFATD-funded Play for
the Advancement of Quality
Education
(PAQE) program will directly address the educational needs of over two million
vulnerable and marginalized children and youth through a 21-month quality
education program in eight countries: Benin, Ghana, Liberia, Mali, Mozambique,
Rwanda, Tanzania, and Pakistan. The PAQE program will aim to improve
educational attainment and participation for children and youth aged 2 to 15 in
eight countries at scale through a sustainable and replicable child-centred,
play-based learning model. This ultimate outcome will be achieved through
focused interventions at the school, community and policy level that result in:

Improved positive participatory and gender-sensitive
learning environments that promote play-based learning:
·        
Improved commitment of community stakeholders to
address barriers to education, and;
  • enhanced policy and regulatory environment for
    the delivery of gender-sensitive, child-centred, play-based learning
    policies and practices across communities
To implement such a program, Right To Play seeks to
recruit skilled candidates for the positions described below

POSITION III: LOGISTICS ASSISTANT

I. 
                
MAIN PURPOSE AND SCOPE
JOB SUMMARY
The Logistics Assistant reports directly to the
Finance Officer and is responsible for the proper implementation of logistics
procedures in all Right To Play programs. He/she is the technical focal point
for procurement and transport.

In accordance with Right To Play (RTP) approved
policies and procedures, the incumbent
1. Supply chain and procurement
·        
Generates and remains up to date on a list of
preferred suppliers; orders and prepares contracts, procures items from local
suppliers or elsewhere as appropriate.
·        
Responsible for procurement and management of office
supplies such as stationary, cleaning material and catering supplies.
·        
Keeps clear and well-documented files and
well-organized archives on operations: ledgers, requisition orders, release
orders, stock /Bin cards, stock reports, loss adjustment reports, physical
inventory.
·        
Receives inventory and provides timely, accurate stock
and inventory reports including equipment tracking reports for management
information and donor reporting purposes.
·        
Ensures that RIGHT TO PLAY assets are received, coded
and registered in the assets register and ensures disposal of RIGHT TO PLAY
assets are carried out according to existing policies and specific donor rules.
·        
Manages relationship with venders, suppliers and
contractors to facilitate flow of services. 
2.Building/Office Premises
·         
Maintains all office buildings and provision of
utilities, highlights facilities and maintenance needs and coordinates with
services providers.
·         
Ensures servicing of generators and monitor fuel
consumption.
·         
Follows up on leases for all RIGHT TO PLAY
premises/offices.
3.Fleet management and office support
·         
Plans and coordinates the procurement of equipment and
motor vehicle spare parts.
·         
Ensures that daily and weekly vehicle and stand-by
generator inspections are performed and that regular servicing is carried out.
·         
Facilitates the repair or recovery of vehicle and
generator breakdowns when required, including repair/recovery outside of
working hours; follows up on periodic services of the vehicles.
·         
Ensures the annual inspection of vehicles as per the
procedure of the country.
·         
Prepares quarter and annual reports on the vehicle
performance i.e. mileage covered and the unit and total cost incurred for each
vehicle. 
·         
Plans and provides all transportation services such as
travel arrangement, booking and ticketing, visa applications, vaccinations,
hotel and taxi booking, travel allowances and expense claims for programme team
as well as other RIGHT TO PLAY staff  in line with the stipulated
transport request procedures.
·         
Stores and tracks assets.
·         
Follows up with staff members regarding safety issues
to ensure RIGHT TO PLAY standard regulations and security are followed and
properly implemented.
·         
Follows up with IT provider for maintenance of office
computers.
4.Conference and events management
·        
Assists with negotiations for space contracts and
books event space, arranges food and beverage, orders supplies and audiovisual
equipment, makes travel arrangements, orders event signs, and ensures appropriate
décor to meet the quality expectations of the event.
·        
Conducts research, makes site visits and finds
resources to help staff make decisions about event possibilities.
·        
Keeps track of event finances including check
requests, invoicing, and reporting.
5. Team management
·         
Supervises and monitors all drivers in their daily
duties (daily vehicle inspections, preventative maintenance reporting,
logbooks, cleaning of vehicles, adherence to safety etc.)
·        
Ensures that Drivers and Guards are familiar with
their roles a responsibilities within their individual job profiles and
provides all coaching and support to build their capacity.
·        
Carries out the performance appraisal of the direct
reporting team.   
6. IT Equipment Maintenance and Management
·         
Ensures effective implementation and compliance of
organization IT policies and procedures
·         
Maintains all company’s IT network, servers and
security systems.
·         
Plans and supports scheduled maintenance upgrades and
repairs
·         
Supports IT company to investigate, diagnose and solve
computer software and hardware faults
·         
Responds to breakdowns in the offices
·         
Maintains records of software licences
7. Performs other duties as assigned.

The incumbent is expected to come up with day to day
plan in line with the country work plan. However, the incumbent is expected to
respond to urgent matters as directed by the Supervisor.
II.     
MINIMUM QUALIFICATIONS (Must have)
(A)
   EDUCATION/TRAINING/CERTIFICATION
       Diploma in
procurement, supply chain management or other related discipline
(B)    EXPERIENCE
2years’ experience in procurement related responsibilities at the
national or international level
(C)    COMPETENCIES / PERSONAL ATTRIBUTES

Skilled in IT Equipment maintenance and management

   LANGUAGES

Fluency
in spoken and written English, French and local language(s).
