Position: Director of Administration and Finance

The Akilah Institute for Women’s (Akilah) Director
of Administration and Finance (DAF) is responsible for ensuring that all financial
policies are in place and implemented as set forth in the Financial Manual. The
DAF ensures that the campus

DAF ensures that the campus
budget and forecasts are carried out in a timely
fashion and that all documents are accurately maintained for audit and office
purposes and usage. He/she plays a key role in providing key strategic
recommendations to the best interest of Akilah, and in line with the
organization’s growth plan and perspectives.
Key responsibilities include:
General Accounting and Finance
- Ensures the accuracy of all finance statements
and controls
- Carries out primary communication to US office
about finance related issues
- Assists the Country Director and CEO in budget
preparation, including core activities and specific grant budgets
- Monitors and reconciles all expenses and
revenue with USD and RWF bank accounts
- Manages monthly costs, making appropriate
accruals, and provide Country Director with timely and updated budget vs.
actual analysis report, including explanations for large variances
- Oversees office procurement and executes all
approved payments for local/regular vendors, contractors for goods and
services received. Ensures timely payment
Financial Management and Reporting:
- Records all financial transactions on a daily
basis into the office accounting system (Quickbooks), and submits weekly
reports to the Country Director, CEO, and COO each Friday
- Compiles financial report and submits to the
Country Director, CEO, and COO every month
- Ensures that the annual audit is carried out
in conjunction with the US office in a timely manner
- Enforces and improves procurement procedures,
as needed
- Ensures that the internal control procedures
and donors regulations are followed for all cash disbursements, receipts,
and transfers and includes appropriate backup for the US compliance
Payroll Management:
- Ensures compliance with national tax and labor
regulations, to include paying local income taxes and social security on a
timely basis
- Ensures the monthly payroll allocation entries
are properly calculated, coded, and entered appropriately into accounting
system
- Ensure that PTO is properly recorded into
payroll Student Tuition fees Management:
- Manage and maintain accurate records of each
student’s tuition fees account, payments and payments of tuition fees
through UOB students loan program if applicable.
- Conduct financial consultations with students
- Provide strategic recommendations on the
current students loan program (UOB) and for any future program that may be
of interest.
- Student financial development and
oversight:Tuition policy, processes, and payments
