Duties
- Within delegated authority, the HR Assistant
will be responsible for the following duties: - Extract and input data from various sources to
maintain and update Human Resources database; - Assist in the preparation of staff list &
HR statistics required; - Ensure that salary, overtime, hours of work,
leave policy, entitlement, health insurance and detailed Terms of
Reference are comprehensively induded within the body of all letters of
Employment offers/ contracts; - Assist supervisor in the follow-up on
contractual status of all local staff on contract renewal dates,
step-increment schedules; ensure timely preparation and issuance of
contract renewals and personnel action form; - Assist in the hiring process such as the
preparation of Vacancy announcements, opening of applications,
long-listing, organizing written tests and interviews for recruitment
process and issuance of contracts for newly recruited or hired contract
holders as requested; Check and maintain personnel files for all staff
ensuring all documentation is complete as per the check-lists; maintain
and update confidential personnel information and documents; - Check and maintain attendance registers, leave
reports and other forms and reports; - Review supporting documentation for processing
various actions; answer a variety of enquiries and supply readily
available information from office files, databases, liaising with other
offices as appropriate; - Verify benefit and other human resources
related claims for accuracy and conformity to HR rules and regulations; - Respond to HR queries from staff in different
units and sub-offices; Ensure that UNDP and WFP issued human resource and
personnel policy manuals, rules, regulations, guidelines, and circulars,
are updated and filed regularly; - Backstop other HR Assistants in the unit and
complement each other in unit’s work to ensure continuity of support to staff; - Draft routine correspondence;
- Perform other duties as and when required.
Qualifications and Experience
Essential:
Education:
Post-secondary school diploma (A1)in the following disciplines: secretarial
studies, management, business administration, administrative sciences, law,
economics or any related fields. A university degree in Human Resources, law,
industrial psychology, public or business administration will be an added
advantage.

Experience: At least
five years of progressively responsible general support or secretarial work
experience, including at least one year in the field of human resources.

Desirable: Formal

Languages: Fluency in
both oral and written communication in the French or English, with a working
knowledge of the other.
