o Be Adventure Therapy Society (PTB) inspires
youth and families in need of support to discover their limitless
abilities through nature-based programs.
The Program Support Specialist will assist with data management,
analysis, evaluation, quality improvement, planning and reporting for
all PTB programs. The Program Support Specialist will be able to
prioritize tasks, coordinate multiple projects, display strong
administrative, analytical and problem solving skills, and are an
effective communicator. The successful candidate will support
volunteer coordination, internal engagement, program facilitation, be
comfortable working with people of all abilities, and will demonstrate
a commitment to the organizations mission and vision in their daily
interactions.
The successful candidate will administer volunteer coordination
procedures for the operation of the volunteer management program. The
role facilitates informed decision-making and quality improvement
through the collection and reporting of data/information, while
assisting with compliance reporting requirements. Through the use of
data and information the successful candidate will contribute to PTB’s
ability to optimize program and service delivery.
SPECIFIC JOB RESPONSIBILITIES:
DATA MANAGEMENT – The Program Support Specialist will:
• Use computer software and database programs to support program initiatives.
• Adhere to strict timelines while supporting administrative program
requirements.
• Research, plan and coordinate projects as directed.
• Support telephone and digital communications, filing, database entry
and scheduling.
• Support client, volunteer and agency file maintenance and archiving.
• Maintain Salesforce or other CRM database.
PEOPLE – The Program Support Specialist will:
• Support volunteer recruitment, onboarding, training and booking.
• Be a support to co-workers, volunteers and stakeholders; assist
co-workers with their responsibilities in their absence as required.
• Contribute to a positive and dynamic working culture.
• Adhere to all Power To Be policies and guidelines, and applicable
legislation as they relate to staff and volunteer practices.
PROGRAMS – The Program Support Specialist will:
• Assist staff with or train staff on effectively using organizational
systems, processes and tools.
• Support proper program procedures and paperwork; ensuring ethical
guidelines, participant protection, privacy protection, risk
management and other related policies and procedures are followed at
all times.
• Provide guidance and support program team with administrative
functions such as pre-program documentation, progress reports,
external and internal communications, log books, vehicle fleet
maintenance, receipt management, participant files, and program
evaluation and tracking.
• Occasionally support program facilitation, program communications
and participant intake consistent with the mission, values and
policies of PTB.
INFORMATION TECHNOLOGY – The Program Support Specialist will:
• Support implementation and use of the organization hardware,
software, and networking components to deliver programs, meet
strategic objectives and adhere to privacy/security standards.
• Maintain phone, computer and office technology systems as directed.
DEVELOPMENT & COMMUNICATIONS– The Program Support Specialist will:
• Support community and fundraising events as directed.
• Maintain brand standards when communicating with stakeholders.
• Assist with volunteer recognition and internal engagement.
OTHER – The Program Support Specialist will:
• Maintain a primary office space at the Victoria office.
• Adhere to all PTB policies and procedures with direct consideration
for privacy protection.
• Provide support to the creation and maintenance of administrative,
logistics and facilities systems and procedures.
• Perform other related duties, as required.
Particular Working Conditions In consideration of the mission we
serve, it is preferred that the Program Support Specialist is a
non-smoker and enjoys an active lifestyle. The position involves
occasional evening, weekend and overnight commitments. Working outside
in inclement weather may be required at times.
Requirements The successful candidate must be proficient in the use of
computers including standard office software packages, database use,
and Internet search tools. They must possess experience working with
people that live with a barrier, disability or other significant life
challenge(s) and/or youth work, and a demonstrated knowledge of
outdoor pursuits. Previous non-profit and/or outdoor recreation
experience considered an asset. Previous experience supporting
database systems and project coordination considered an asset.

Locations: Victoria, North Vancouver
Position: Program Support Specialist
Vacancies: 1 position in Victoria, 1 position in North Vancouver
Reports to: Director of Operations
Hours: Contract until December 15, 2015, 40 hours per week, Monday –
Friday, with occasional evening and weekend commitments.
Compensation: $35,000- $45,00 per annum, commensurate with experience.
