POSITION RESPONSIBILITIES:
Membership Activities:
• General promotion of the Association to members and all general inquiries
• Assemble and send out Membership recruitment packages; call to follow-up on potential membership recruits
• Maintain and update the database of Members
• Manage the annual Membership Directory and submit it to our publisher; work with the Manager of Communications to update all aspects of the Membership portion of the website
• Annual update of Membership application forms and rate adjustments
• Research and analyze trends in membership and marketing with other national and like-minded Associations
Marketing Activities:
• Create magazine and electronic advertisements to promote membership and events
• Sales to new membership recruits, advice and referrals for sales of advertising opportunities in Organization website and all regular communication vehicles (10 times per year – Bulletin, Municipal Water News and Review magazine, annual Membership Directory)
• Actively seek, negotiate contacts and be primarily responsible for the promotion of new membership benefits and general promotional activities and opportunities
• Work cooperatively with the Manager of Communications, other staff and consultants to communicate marketing, events and other services available to Association members and the general public
• Be the primary point of liaison with other regional water associations to complement marketing efforts to sector
• Assist Manager of Communications, when Manager is unable or unavailable to act.
Event Planning & Coordination:
Be the primary point of liaison with internal staff and External event consultant on events such as conferences, workshops, webinars and Board of Directors meetings.
• Research potential venues for holding Board of Director meetings, conduct site inspections and negotiate contracts
• Liasion with staff and others on the creation of the delegate’s program and registration form, audio-visual equipment needs for events
• Budgeting — outline expected/estimated expenses and determine various price points of the registration fees, perform break-even cost analysis to assist in fee-setting for events
• For Board of Directors meetings – be the point of contact between the Association and the hotel – Plan and order the catering menu, plan the meeting room set-up, arrange for audio-visual needs, hospitality suite, analyze the rooming lists, provide onsite hotel support
• Manage the registration desk at the conference/workshop
General Administrative Duties:
• Manage all aspects of the CWWA biannual Magazine, assist with mailout of the Bulletin (10 times per year)
• General update of the website such as Awards, Career postings, Calendar, Bookstore, list of Board Directors, Membership, Steve Bonk Scholarship; maintain the general database
• Respond to requests for Career postings and changes to the Calendar webpages and provide price quotes
• Manage the annual Steve Bonk Scholarship and Utility Excellence Awards — all aspects
• Perform other duties as required
QUALIFICATIONS:
2+ years experience with proven track record in sales and marketing. Skilled at negotiation. 2+ years experience in planning and implementing events. Able to work in a small team environment.
Bilingualism (written and spoken) and knowledge of the water industry in Canada are definite asset.
Good working knowledge of MS Access 2003, MS Office programs (Outlook, Word, Excel and PowerPoint). Knowledge of WordPerfect 10.0 and Adobe Dreamweaver 10.0 is an asset.
Work well under pressure. Able to plan, prioritize, and organize a diversified workload. Excellent organization and customer service skills with an attention to detail.
Must be presentable and willing to travel within Canada.
