The Bruce Trail Conservancy (BTC) is seeking a positive, organized individual
to provide support to the BTC’s Membership Program for 8 months.
Reporting to the BTC Director of Marketing & Communications, the Membership
Administrator is responsible for providing administrative and member-service
support at the BTC head office, located inside the Royal Botanical Gardens
Arboretum.
Key Responsibilities:
• Membership Administration:
• Enter and update member/donor information in the BTC onsite database.
• Administer the Automatic Membership Renewal program including new
enrollments, renewal mailings, and contacting members regarding credit card
details or payments.
• Process memberships, sales & donations that are acquired through trade
shows and special events; Mail welcome packages
• Assist with processing and mailing of year-end donations and gifts.
• Membership Sales:
• Coordinate BTC participation in two major trade shows (winter/spring 2016),
including coordinating volunteers and supplies, working at the shows, maintain
accurate sales records, and reporting on results.
• Coordinate BTC sales/outreach booths at local outdoor retailers in November
& December.
• Member Service:
• Attend to membership inquiries by phone and/or email, including technical
support regarding BTC website.
• Send monthly surveys to new and lapsed members. Attend to questions from
respondents.
• Club Support:
• Liaise with Bruce Trail Clubs in support of local membership and outreach
initiatives
• Prepare and distribute regular membership reports to all Bruce Trail Clubs
• Prepare and distribute mailing lists for quarterly Club Newsletters and Bruce
Trail Magazine
• Material Coordination:
• Monitor supplies of printed membership material.
• Coordinate and schedule use of outreach equipment.
• Ecommerce/Database support:
• Provide support to ecommerce sales and other database needs during the
transition of the BTC database from FR100 to RENXT
• Contribute content to BTC website, e-newsletters and social media
• Work within a team environment and communicate effectively with staff and
volunteers.
• Other duties as required.
Qualifications & Skills:
• Level of Education: Some College/Tech Training or University
• Experience in customer service, office administration, fundraising, marketing
and/or communication.
• Proven ability to maintain a high level of customer service and consistently
convey a pleasant and professional manner in person, on the phone, and by email
• Strong computer literacy and proficient in the use of Microsoft Office
software. Experience with databases (especially in a non-profit setting) is an
asset.
• Strong communication and interpersonal skills; ability to interact and deal
effectively with a wide range of individuals
• Ability to work independently and be an effective self-motivator
• Experience in cash handling and reconciliation
• Excellent attention to detail, good judgement and problem-solving skills
Commitment:
• 37.5 hours / week, September 28, 2015 – April 30, 2016
Salary: $17.00 / hr
Location: RBG Arboretum, Old Guelph Road, please note that our building is not
wheelchair accessible or accessible via public transport.
Requirement: You must have access to reliable transportation for the trade
shows
