Smart Commute – North Toronto, Vaughan (NTV) is seeking a Program and
Outreach Assistant. This is an exciting
opportunity for an energetic,
positive self-starter with an interest in sustainable transportation.
This position is for you if you have exceptional customer service and
computer skills as well as strong administrative and organizational
abilities. You are comfortable and competent working with diverse

Annual Compensation: $32,000 plus additional benefits
ORGANIZATION OVERVIEW
Smart Commute – North Toronto, Vaughan (NTV), is a dynamic
award-winning not-for-profit organization. Our mandate is to improve
commuter options and to reduce traffic congestion in our service
areas. We work with local employers, post-secondary institutions,
property managers, and other organizations to provide Transportation
Demand Management (TDM) programs that help employees and students
reduce drive-alone trips that result in traffic gridlock, smog,
greenhouse gas emissions and other costs to the environment, community
and economy.
Our core activities include developing, launching and monitoring TDM
programs for medium- to large-sized organizations. We promote a menu
of options for commuters, such as transit, ride-matching, shuttle
buses, vanpooling, telecommuting, cycling and walking.
POSITION RESPONSIBILITIES
Outreach (40%):
You will be instrumental in designing, arranging and executing fun,
innovative, and effective outreach activities to help commuters find
their best sustainable option for travel. This might include:
• Planning, organizing, and attending outreach events/orientations,
including follow up communications as need be
• Supporting Program Managers and Assistant Program Manager in all
aspects related to outreaches at partner worksites
• Maintaining outreach tracking sheet and conducting evaluations of
outreaches and making recommendations for future outreaches
• Responding to general in-person, phone, and email inquiries about
Smart Commute NTV
• Providing way-finding, commute counselling, and route planning at
tabling events at client worksites and post-secondary campuses
• Leading volunteer recruitment, training and management
Programs (40%):
Our programs are key to our success. You will be the backbone for our
programs to ensure smooth and efficient operation of our standard
programs. Responsibilities will include:
• Monitoring monthly shuttle ridership numbers
• Maintaining our online Carpool Management System
• Developing and updating tracking systems to monitor progress of
Smart Commute programs and maintains office inventory
• Assisting with survey development, execution, and analysis
• Performing site assessments for new clients
General (20%):
Administrative support is a smaller, but equally crucial aspect of
your role. Responsibilities may include:
• Providing administrative support (arrange meetings, prepare and send
correspondences, develop mailing lists, files, enter data into Excel,
Salesforce CRM Database, take meeting minutes, arrange and prepares
material, orders supplies, mailing materials)
• Supporting the Business Operations Manager in finance-related tasks
such as A/R processing and credit card reconciliation. Training will
be provided
• Assisting the Executive Director and Smart Commute NTV staff in day
to day administrative and office management duties. Lead internal
meetings and chart organizational progress against KPIs
QUALIFICATIONS
The Program and Outreach Assistant’s role is vital to the success of
Smart Commute – North Toronto, Vaughan (NTV) and is best suited to an
energetic, positive self-starter with the following qualifications:
• Degree or experience in environmental studies,
administration/business, customer service, community development,
and/or volunteer management
• Exceptional research skills and experience in program development,
data analysis, and monitoring/evaluation
• Background/interest in sustainable transportation (and environmental impacts)
• Strong computer skills in MS Office (Word, Excel, Access,
PowerPoint, Google Docs, Sheets and Slides and other online software)
• Well-organized with demonstrated ability to manage time; Strong
administrative and planning skills.
• Strong interpersonal skills; professionalism in working with a
variety of stakeholders of diverse interests and backgrounds
• Capacity to work independently and demonstrate initiative in a team
environment
• Willingness and ability to travel to sites within and around North
Toronto and Vaughan areas (access to a personal vehicle is not
necessary for this position)
