BACKGROUND:
Save the Children is

lives. Save the Children works in seven regions in Rwanda with a current staff
complement of approximately 80 staff. SCI Rwanda Country Office would like to
provide an opportunity for internship to promising young Rwandan Nationals
professionals to build their capacity.

PURPOSE OF
POSITION:
As a member of the
field team, the Logs and Admin Intern will assist in logs and admin issues in
the Field Office (FO). The Logs and Admin will have an opportunity in his/her
capacity to learn and also be accountable for the provision of effective
development programming contexts at the field office level.
MAJOR
RESPONSIBILITIES:
KEY AREAS OF
ACCOUNTABILITY:
Human
Resource Management
· Administering the
Human Resources function at the field level and provide advice and support to
the Field Manager and field staff on application of policies and procedures as
well as on other Logs and Admin related matters.
· Provide support at
the field Office in terms of implementation of Logs and Admin policies and
guidelines
· Ensuring that
field staff are aware of and adhere to the SCI logistics and admin policies.
· Taking charge of
Logistics and Admin stock management regularly update store/warehouse records
including submission of timely monthly reports.
Performance
Management and Staff Development
· Supporting the
strengthening of a culture of performance management at the field office level
to link this with staff accountability and rewarding based on performance
· Ensuring that
performance reviews are conducted regularly by relevant persons involved in
line management
· Providing guidance
to the Programme Coordinator on staff capacity building and in formulating the
annual training calendar, and offering expert facilitation of in-house training
programs such as performance management workshops and orientation programmes
· Monitoring and
advising on disciplinary matters in accordance with established policies and
procedures
· Mediating
conflict, grievances and harassment cases
Administration
· Supervising the
administrative function of the field office, including the front office
(general communications, receiving of guests, e-mail, telephone and fax,
postage, courier etc.)
· Working with the
CO IT Consultant, ensure that efficient, cost effective Information Technology
Systems are functioning effectively in compliance with SCI MOS
· Ensuring standard
hard-copy and electronic filing system is in place across the field office
· Responsible for
the general office management.
· Processing and
monitoring the payment of utility bills
· Facilitating the
renewal of agreements for Kirehe premises
· Coordinating
schedules for visiting staff and consultants for Kirehe
· Supervises the
work of the cleaner and gardener and ensures the daily cleanliness of the field
office premises & efficient operation of the kitchen
· Ensure that the
guard service contract is monitored and necessary renewals done.
· Manage the stores
function
Facilities
Management
· Overseeing the
overall maintenance of all Kirehe Save the Children office premises, facilities
assets and equipment (physical work environment) in Kirehe.
· Supporting the
processing of all contracts and leases before forwarding them to the Senior HR
and Admin Manager for signature
· Ensuring
compliance with Health and Safety regulations
· Providing
logistical support including hotel booking to guests, visitors including
partner organisations involved in SC activities
QUALIFICATIONS
AND EXPERIENCE
- Proven experience
in Admin or Logistics in a corporate or NGO environment is an advantage, - Bachelor
degree in Business Administration, Supply chain management, Social
Sciences, or other related academic discipline, - Willingness
to quick to learn policies and practice and applying them in every day
work. - Excellent
oral and written communication skills in English and Kinyarwanda - Analytical,
decision making and strategic planning skills and the ability to handle
multiple priorities - Ability
to coach, mentor, delegate appropriately and provide developmental
guidance to supervised staff - Team
building skills - Competent
level skills in core IT applications, particularly MS Office, - A
commitment to the values and principles of SC - High
level of commitment to the principles of development and to the
organizational and programmatic goals of Save the Children
