Position Summary:
The Project Coordinator, Energy & Housing Solutions reports to the
Director, Energy & Housing Solutions and is responsible for project
coordination and logistics of multiple community energy efficiency projects.
This includes coordinating project team and contractor schedules and travel,
planning the logistics for shipping of equipment, tools, and building materials
and supplies, preparing request for proposals (RFP’s), obtaining quotes, and
tracking, monitoring and reporting project status and progress. The Project
Coordinator will play an integral role in ensuring that projects are completed
on-time and budget and making sure that QPS maintains a high standard of
quality work and client service.
Role and Responsibilities:
• Project coordination of team and contractor activities, tasks, schedules and
travel for each phase of community energy efficiency projects:
• Develop detailed project implementation plans and schedules
• Develop processes to streamline and automate project management to ensure
activities are properly tracked and followed-up on;
• Track project progress to ensure they are completed according to
specification and remain on-time and on-budget;
• Assign projects activities and tasks to appropriate team resources;
• Create and update specialized project schedules and labor tracking sheets as
needed; and,
• Support implementation of health and safety documentation and protocols.
• Plan project logistics for the purchase, rental and shipping of equipment,
tools, and materials and supplies to community sites.
• Develop detailed logistic plans for multiple community projects;
• Track and monitor the delivery and inventory of equipment, supplies and
materials;
• Order supplies and materials for efficiency upgrades and building retrofits
projects in consultation with constructors and sub-trades.
• Develop long-lasting relationships with contractors and suppliers;
• Track and monitor purchase orders and invoices
• Assist in the preparation of project estimates, project proposals, RFP’s and
acquisition of supplier quotes
• Prepare subcontract, change order and change request documents for approval,
and,
• Assist with preparation of permit packages and submissions
• Maintain effective project communication with team members, contractors,
suppliers and community clients.
• Act as the point of contact and communicate project status adequately to all
participants;
• Prepare project progress reports for communication purposes with management,
clients and other team members;
• Report key project metrics and milestones to supervisor on a regular basis;
• Facilitate team planning meetings;
• Coordinate milestone meetings with clients or on an as needed basis;
• Assist in the development of final project reports; and,
• Record accurate meeting notes and actions items as required.
Work Conditions:
• Periodic travel to site, and off-site locations will be required.
• Physical ability to lift up to 50lbs.

• The ability to handle a heavy workload, multitask and prioritize
• Strong working knowledge of Microsoft Office and of project management tools
• Knowledge of building science, energy efficiency, logistics and construction
• Knowledge of financial processes
• Capable of completing tasks with minimal supervision
Required Qualifications:
• A minimum of 3 years of project management experience in the construction
(preferably in residential construction) or energy efficiency sectors.
• A technical Diploma or relevant University Degree in building science,
construction technology, energy efficiency, or sustainable energy development.
• Certification in project management will be considered an asset.
• Valid BC drivers’ license
• Other relevant education and experience will also be considered.
Salary & Benefits: Full-time position with benefits, salary based on
experience.
