Ontario Natural Food Coop Jr. Marketing Administrative Assistant Job Vacancy in Ontario, Canada

KEY RESPONSIBILITIES:

Intake — Support the overall process for new launches
• Collaborate with team to obtain complete marketing plans from potential vendors
• Support team to obtain complete product packaging and verify intake forms accuracy
• Coordinate agenda and materials (two weeks in advance) for weekly intake committee
meetings
• Liaison with buyer team regarding initial costing
• Support team to assemble sell sheets for reps
• Coordinate customers and sales and marketing samples for new launches
• Costing support

Publication
• Support team to obtain most current and complete promotional planners
• Contact vendors on three times per year (Yearly calendars, CHFA East and West)
• Proofing monthly catalogue promotions
• Support publication team to target vendors and obtain custom deals for Buying Clubs
• Contact vendors/brokers to request flyer promotions
• Preparation and distribution of custom catalogues (Buying Club, Fresh Truck, Food Service, Special Diets, Fair Trade, Show Guides and Retailer special pricing etc.)

Marketing and Sales
• Assists in the coordination of CHFA show and Table Top event
• Prepare & Distribute marketing materials thru data entry for product descriptions, prices, etc.
• Gather approvals, verify skus, pricing and promotion dates for flyers, launches, new products
• Provide Coordination and clerical assistance for Outside Sales i.e. Run sales reports requests

Broker/Vendor Support
• Contact vendors/brokers to request hip pocket promotions
• Updates broker and vendor contact information in database
• Send monthly, quarterly and yearly reports for vendors and brokers

Administrative Support
• Organize and schedule meetings with vendor and brokers
• Maintains a comprehensive contact database for Sales and Marketing (retailer and buying mailing list)
• Solicit from vendors product specifications & certifications for current & new products & update data
• Assist with tracking budgets to reconcile marketing expenses
• Run reports to track results of Marketing projects i.e. flyers. Communicate progress or problems regarding promotions to the team, vendors and management

QUALIFICATIONS:
• Some post-secondary education in marketing or publishing-related subjects and/or an equivalent combination of education and experience in either marketing, graphic design, publishing and printing
• Must demonstrate exceptional accuracy and attention to detail
• Natural Foods Industry experience
• Knowledge of natural and organic food products
• Must have in-depth knowledge of Adobe Illustrator and working knowledge of Adobe Photoshop
• Must be proficient with MS Office Suite (Word, Excel, Access, PowerPoint) and possess the ability to learn new applications.
• Good understanding of report generation from an electronic database would be an asset.
• Strong organization and time management skills
• Must be a goal-oriented team player with excellent interpersonal skills.
