1. Job title: Public Request Officer (1 Position)
Main roles and responsibilities to be undertaken on this post:
- Follow up on all public requests – Support planning mechanisms and processes to make a
constant follow up on all public requests made to PMO and give a proper
recommendation to the superior. - Manage all public requests–
Manage all public requests to the PM and PMO in ail formats, calls,
letters, and ensure the proper orientation of queries to the relevant
institutions, maintain excellent records and follow up on ail public
requests. Use existing PMO processes and be proactive in sharing
information and communicating with others. - Manage and coordinate the Toll Free line: Ensure all enquiries in the PMO are dealt
with efficiently and effectively. - External & Stakeholder Relationships – Establish and work—with a network of
stakeholders and partners related to the work of the PMO function.
Regularly follow up on all public requests made from PM field visits and
link up with other relevant institutions. - Quality Service Delivery –
Undertake personal leadership in work taking personal responsibility for
ensuring tasks are followed up on time and ensure quality service
delivery. To perform any other duties assigned to him/her in the institution.
Job requirements, qualifications, experience, and personal attitudes:
- A0 in
Law, Social Sciences or Public Administration with 2 years of working
experience in similar domain. - Possess
strong communications skills with the ability to write and present
professional reports and recommendations; - Be
proficient in both written and spoken English, with good additional
knowledge of French and Kinyarwanda. - Conscientious
and independent worker with good customer care skills
2. Documentation Center officer (1 Position)
Duties and Responsibilities
- Support all activities –
Supports the coordination and management of all the government
documentation activities for the Prime Minister’s office. - Maintain an organised records and filling– Work closely with the other departments to
ensure an organised records and filling System. - Distributes documents to services concerned -Receives records and correspondence of
PMO Services and distribute them accordingly to relevant units. - Follow up of documents:
Ensure that all correspondence of PMO are distributed on time and
accordingly to avoid delays and losing them. - Deliver High Quality –
Ensuring that the quality of work produced is of high quality and timely. - Communications and Information Sharing – Support communication and information
sharing both internally and externally in the PMO. Use existing PMO
processes and be proactive in sharing information and communicating with
others. - To
perform any other duties assigned to him/her in the institution.
Job requirements, qualifications, experience, and personal attitudes:
- Bachelors
Degree or Equivalent in Documentation, Library Studies, with 1 year
working experience in that field. - Be
proficient in both written and spoken English, with good additional
knowledge of French and Kinyarwanda. - Conscientious
and dependent worker. - General
office and Communication skills.
