Administration Officer

Minimum of 2nd university Degree (Masters) in Business
Administration, Public Administration or Social sciences, minimum of 5 yrs
post-qualification experience

Undertake all other duties and responsibilities commensurate with the role and
level of this job as may be requested by the Imprest Administrator or a
nominee, Monitors office security and supplies, safeguarding us
e of all
equipment and ensuring the office is cleaned, tidy and well presented, Manages
all activities associated with the proper use and servicing of FIDP vehicles
including updating logbooks, fuel registers and private use, and repairs and
maintenance, Prepares and negotiates appropriate service contracts with private
vendors to ensure that all Unit vehicles, office equipment and services are
maintained, Oversees the development and administration of the dept budget and
submits for approval expenditures for equipment, materials, service contracts
and supplies, Management of the programmes transport system to ensure
appropriate vehicle usage and performance, Ensure availability and functioning
of staff safety and security operating standards,
Maintaining an effective performance management and compensation system,
Maintaining an effective administrative and Human resources Management filing
and data base system, Ensuring high quality staff welfare and health, and
maintaining a conducive work environment, Handle work relations and resolve
grievances and disciplinary issues to maintain supplier and staff discipline,
Human resource planning, forecasting and placement and developing staff
contracts and ensuring adherence to contract’s terms, Manage tender procedures
for all tender purchases including preparation of tender documents, Manage
purchase contracts for the programme including drafting, negotiating with suppliers
and overseeing effecting delivery of services and supplies, Support other depts
with administrative planning and budgeting, Managing the programmes warehousing
system including maintenance of appropriate stores ledgers and ensure
safekeeping of all items, Advising Management
on administrative and human resources issues, Managing insurance policies for
the organisation, Ensure proper coordination and facilitation of meetings,
Ensuring that the organisations fixed assets including motor vehicles are being
maintained, Supervision of administration staff and enhancement of their
capacity to ensure effective delivery of services, Generating monthly reports
on Administrative and human resources issues, Developing administrative and
human resources procedures and ensuring that they are being adhered to all the
time, Selects, trains, motivates, an devaluates staff to delivery high levels
of customer service and support to all users within and outside the FIDP
