The Patient Services Representative (“PSR”) is responsible for the patient’s first impression when they enter the clinic as part of our dynamic front-end team. Superior customer service skills and a positive friendly attitude are required. In addition to welcoming the patient, the PSR, provides comprehensive appointment related services, including patient demographics, appointment scheduling and follow-up. The PSR also maintains the medical records.

Education, Knowledge, Skills and Abilities
Knowledge of medical terminology preferred. Excellent communication and organizational skills are essential. Superior customer service skills and friendly attitude are required. The ability to handle multiple tasks in a fast paced organization. Working knowledge of computerized appointment scheduling system and other related office functions.
Required Length and Type of Experience
Minimum of two years related experience that includes patient registration and appointment scheduling. Medical office experience or successful completion of a job related training program may offset the experience requirement.
Required Licensure, Certification or Registry
Completion of Medical Office Administration certificate is an asset.
Required Physical and Environmental Demands
Manual dexterity to operate office equipment. Ability to lift and transport up to 15 pounds. May require extended periods of standing, walking or sitting. Good visual acuity through normal or corrected vision.
PRINCIPLE DUTIES AND RESPONSIBILITIES:
1. Greets patients upon arrival with superior customer service skills. Validates patient demographic information and ensures accurate collection of OHIP number and/or other billing options.
2. Manages patient waiting area, minimizing patient wait times. Communicates frequently with patients and clinicians. Performs electronic patient tracking functions. Assesses activity through the day and recommends appropriate adjustments. Maintains cleanliness of waiting area at all times.
3. Triages appointments based on diagnosis and patient referral. Coordinates services and provides special instructions as requested by patient, internal physician and referring physician. Monitors wait list and fills openings for optimal utilization of physician schedule. Processes cancellation requests and performs reschedules; captures cancellation reasons for reporting purposes. Assigns and enters appointment referrals to ensure correct billing. Verifies and captures physician data for clinical and financial operations. Print and request letters.
4. Maintains medical records. Ensures correct chart location. Locates missing charts, prepares and assembles charts, locates missing information, reports and/or results. Prepares patient reports and binders.
5. Performs other clerical and related duties including: answers and/or transfers telephone calls, takes and delivers messages, receives, sorts and distributes mail and miscellaneous reports. Monitors office supplies as needed, perform opening/closing activities for clinic.
