We Day seeks an Specialist, Executive
Projects and Administrative to support the Executive Director
of We Day Global. WE Day is more than just one day of celebration and
inspiration. WE Day is the movement of our time – a movement of young people
leading local and global change. Harnessing the energy and passion of a young
community of change makers, WE Day brings youth together in an unparalleled
setting to show them that they are not alone in their journey to make a
difference.
As the Executive
Assistant, you are responsible for providing support on all daily
correspondence and ongoing project matters in accordance with the Executive
Directors’ tasks. A sophisticated level of professionalism, confidentiality and
discretion is imperative.

This position is
meant to work hand in hand with the Executive Director to achieve the
following:
- Maintaining
positive relationships with internal team members to ensure that projects
are complete
- Providing
the highest level of support with administrative tasks - Assisting
with a multitude of roles at the office, with some personal assistance

who is detail oriented and independent - Able
to balance multiple and differing tasks in an organized fashion - Can
see beyond the tasks to how their work contributes to the larger project - Brings

The position is
based out of We Day office in Toronto (213 Carlton Street). There is a three
(3) month probationary period, upon reaching the three (3) month period, all
staff members are offered a health plan including dental and Employee Assistant
Program.

Responsibilities:
Coordinating
Directors and Staff
- Supporting
to manage organizational communications with the Senior Team. This
includes identifying information that should be shared across departments,
ensuring depth and thoughtfulness in the information, developing content
in a digestible and engaging way. - Responsible
for coordinating meetings, We Day staff meeting agenda and corresponding
reports. Ensuring the template for the report is resulting in the most
pertinent and important information being shared. Ensuring the quality of
the reports and presentations are at the highest of standards. - Responsible
for galvanizing directors and staff for delivery of information in a
timely fashion.
Communications
- Support
Executive Director in streamlining communication with internal directors
and external contacts to ensure all communications happen in a timely
fashion. - Following-up
with internal team members to ensure that projects are complete. - Providing
support on other tasks as required.
Administrative
Support
- Support
in scheduling meetings. - Managing
the Executive Director of We Day calendars, effectively scheduling and
coordinating appointments, with some personal assistance. - Work
proactively to consistently anticipate scheduling conflicts, and
facilitate alternatives - Maintaining
highest level of accountability, disclosure, and regularly exercise
discretion. - Fostering
strong internal and external relationships. - Assisting
the Executive Director with tasks that may arise before events, before
travel, in preparation for meetings and conferences, We Day tour, etc. - Undertaking
a variety of additional tasks and projects as requested by the Executive
Director.
Skills and
Qualifications:
- 3-5
years of experience - Holds
an undergraduate degree - Have
achieved something great in your life - 2-3
years’ experience as an Executive Assistant - Possesses
exceptional organizational and communication skills, with the ability to
articulate at every level of the organization - Excellent
work ethic and dedication, flexible schedule, comfortable with last minute
requests - Must be
a self-directed, problem-solver and able to complete projects with limited
supervision - Detail-oriented
and highly meticulous, even when faced with competing priorities in a
fast-paced work environment - Displays
good judgment, with an ability to identify risks and manage expectations - Excellent
understanding of Microsoft Office, especially Outlook
