The University of Malawi Medical Scheme (UNIME
D )was formed in
June 2009 by the University of Malawi (UNIMA) to provide affordable health care
finance for the healthcare needs of its members in return for a contribution or
premium
Reporting to the Medical Scheme Director, the incumbent shall
provide secretarial and office support activities for the Scheme with minimal
supervision

Receive, assist and direct visitors and clients accordingly,
Answer, screen and transfer inbound phone calls, Dispatch outgoing mail, Open,
stamp, sort and distribute incoming correspondence, Process monthly
requisitions for office supplies and maintain inventories for the same,
Photocopy documents and send faxes and emails, Write/prepare documents i.e.
correspondence, reports, etc, Schedule and coordinate meetings, appointments
and travel arrangements for UNIMED members of staff, maintain electronic and
hard coy filing system and retrieve same when required, Coordinate maintenance
of all office equipment, Assist with overflow or work from Data Entry Clerks,
Any other duties assigned by the Medical Scheme Director from time to time

Able to work methodically, accurately and neatly, Excellent
communication skills, – oral and written, Excellent planning and organising
skills, Should have very good problem-assessment and solving skills, Attention
to detail and accuracy, Flexible and excellent at dealing with people, Must
have excellent team work skills, Neat personal appearance all the time, Able to
work with minimal supervision

At least a Higher Diploma in Business management or Business
Administration from a recognised institution of Higher Learning, At least 3 yrs
of experience in similar job functions to a busy office of a reputable
organisation
