Free The Children seeks a driven and motivated Venue & Logistics
Manager who will report directly to the Associate Director of Event
Operations. This role is responsible for managing venue relationships
for all We Day cities and managing venue logistics (which includes
security, accreditation and venue map creation).

The position is based out of Free The Children’s International office
in Toronto (233 Carlton Street). A minimum 3 year commitment is
expected. There is a three (3) month probationary period, upon
reaching the three (3) month period, all staff members are offered a
health plan including dental and Employee Assistant Program.

Responsibilities:
Venue Relationship Management for all We Days
• Manage venue relationships for We Day events in planning and
execution, which includes but is not limited to, the following:
• Room allocations as they relate to We Day special experiences for
all stakeholders (honoured guests, talent, media, staff, volunteers,
crew)
• Obtaining final seating plan and tracking the creation of tickets
• Creating and distributing front of house execution plans and
schedules as they relate to the venue
• Managing venue load in/out location and specifics for each event
• Liaising with the We Day production team to communicate appropriate
information to the venue for back of house operations
• Tracking of budget for venue deposit and final settlement
• Working directly with the venue to ensure a smooth event day execution
Oversee Event Security Services for all We Days
• Liaise with Resource & Logistics coordinator to create security
needs assessment for each event
• Communicate security needs assessment to the venue and confirm deployment
• Manage and oversee security plan throughout each We Day event
Source and Acquire Accreditation for all We Days
• Lead the ordering process, tracking of creation and printing for all
accreditation pieces for all We Days, including but not limited to
wristbands and lanyards
• Work with internal creative team on creation of We Day accreditation pieces
• Manage inventory ensuring all teams get their accreditation in a timely
manner
• Manage and track compliance with We Day budget
Create and Manage Venue Maps for all We Days
• Liaise with the internal We Day venue relationship holder to confirm
room allocations
• Create We Day specific venue maps on Photoshop or similar program
• Update maps as per venue relationship holder requests
Skills and Qualifications:
• Possess a bachelor’s degree or qualification in a related field
• Work experience in logistics, project management or inventory
management is an asset
• Strong inter-personal and relationship management skills
• Able to effectively delegate work
• Enjoys working in a demanding, fast paced work environment and
flexible with work hours
• Highly self–motivated and independent, a strategic thinker
• Able to perform well and problem solve in high stress, dynamic and
changing situations
• Detail oriented
• Positive and professional attitude and able to work as a team player
• Excellent time management, organization and multi-tasking skills
• Excellent written and oral communication skills
• Flexible, adaptable, thrives in stressful situations and strong team player
• Ability to maintain a high degree of discretion and confidentiality
• Able to work both independently and within a team setting with
minimal supervision
• Executes high level of positivity and professionalism in the office
and at We Day events
• Sound understanding of and experience working with Microsoft Office,
specifically Word, Excel, PowerPoint and Outlook
• Ability and willingness to travel to all We Day events across North
America and the UK
• Full Graduated Ontario driver’s license is required
