Employment Opportunity: Executive & Program Assistant
The Executive & Program Assistant is a master organizer who has a passion
for operations and knows how to get things done. You love making events go off
without a hitch, making sure the dollars and cents are in order, and make
people get to the right meetings at the right time. You are the front line
operator when it comes to phone, web, and in-person inquiries about cycling and
you’re keen to work with our hugely committed volunteer base.
Roles & Responsibilities:
• Assist the Executive Director with maintaining correspondence with various
stakeholders
• Arrange meetings with funders, partners, political representatives and City
staff, and ensure meeting follow-up items are addressed in a timely manner
• Develop a knowledge base of our Frequently Asked Questions to provide front
line support to Cycle Toronto’s members and potential members through phone,
general email, and in-person inquires
• Track payments, donations, merchandise, bank deposits and budgets
• Develop presentation decks, briefing notes and contracts
• Maintain office inventory and organize online and office materials
• Oversee meeting and event logistics, ensuring seamless coordination between
event holders, partners, staff and volunteers. Book spaces and equipment,
prepare programmes, agendas and meeting minutes
• Support programming and coordination of our annual programs and events such
as Bike Month, Bike Valet, the Toronto Bike Awards, Cycle Toronto’s annual
fundraising ride, Street Smarts education workshops and outreach
• Recruit and schedule outreach staff and volunteer shifts and orientation/
training, and appreciation events
• Ensure outreach supplies are maintained and prepare outreach kits
• Assist with membership card mailouts and database management
• Monthly membership check-in calls with bike shop partners
• Perform administrative tasks as needed
• Produce and edit graphic and web content (strong asset)
Our candidate should have demonstrated experience with the following:
• Post secondary degree in a relevant field to the position
• 1-2 years professional experience with project coordination, office
administration, program delivery, customer service, and/or an executive
assistant role. Experience in the non-profit environment a strong asset
• Interest in community/city building, politics, cycling, and grassroots
advocacy
• Attention to detail and ability to prioritize tasks and meet deadlines
• Strong oral and written communication skills
• Information management and making systems more efficient
• Interest in or experience working and coordinating volunteers
• Proficiency with MS Office Suite: Word, Excel, PowerPoint. Experience using
Google platforms: Mail, Calendar, and Drive
• Strong assets include: experience with Adobe Suite (InDesign, Photoshop,
Illustrator), Drupal, Ruby on Rails, and CIVI CRM / Databases
• Rides a bicycle
Terms of Employment:
Full time employment contract. 3 month probationary period. 40 hours per week
starting in mid September, 2016. $35,000 – $39,000 per year (pro rated)
commensurate with experience, with competitive vacation and benefits package.
Successful applicant must be a member of Cycle Toronto. Reports to Executive
Director and Director of Programs & Events.
