ABOUT TREC
TREC is an incubator of renewable energy co-ops and a service provider
to the community power and social finance spaces. TREC currently
provides financial administration services and investor/member
management services to rapidly growing organisations in these fields.
These services bring our 17 years of experience in raising community
financing and developing and operating projects to our clients,
providing the expertise and back-end support growing organisations
need to achieve their community and business objectives.
SUMMARY OF ROLE
The Accounts Co-ordinator is responsible for assisting in the delivery
of financial administration and investor/member management services to
TREC’s clients. This includes, but is not limited to,
accounting/book-keeping, accounts payable/receivable, data entry,
investment processing, filing and mailing. The successful candidate
will be expected to work according to an established schedule and
practise acute attention to detail. The Accounts Co-ordinator may also
be asked to directly contact vendors or customers directly.
Candidates who wish to join the TREC team must have strong numeracy
and data management (i.e., well versed in Excel and database
management) and mathematical abilities. We are also seeking candidates
who have previous experience using Sage 50 or Quickbooks in asset
development and management environments. As they will be working with
large amounts of information, diligence and consistent attention to
detail is also required. The Accounts Co-ordinator must also be
comfortable speaking to vendors, customers and third parties
associated with TREC’s clients and projects. Patience and respect for
processes and protocols is essential, as TREC takes the privacy and
security of our clients very seriously.
Our Accounts Co-ordinator must also be able to multi-task and
effectively stop-and-start workflows. At TREC, interruptions and new
tasks develop often, some requiring immediate attention and short
timelines for completion.
The learning curve for this position is steep, but will introduce the
successful candidate to every day operations of social finance and
renewable energy co-ops.
JOB DESCRIPTION/AREAS OF RESPONSIBILITY
As the Accounts Co-ordinator, you will be expected to perform the
following tasks across multiple organisations:
Book-keeping/Accounting
• Assist the Office Manager with daily book-keeping tasks to produce
financial statements for TREC’s clients
• Assist with the completion of monthly accounting workbooks
• Assist with the annual audits of our clients, annual tax filings and
HST filings with the CRA
Accounts Payable/Receivable
• Create payment requisitions and invoices for our co-op clients on a
weekly basis
• Assist with cash management procedures, including fund transfer
documents and authorisation
• Work with the Services team to track and record payables/receivables
Securities processing
• Assist with investment reconciliation and bond package production
• Assist with Registered accounts reconciliation and filings
• Payment reconciliation and receipt production and delivery
• Assist with the inventory process to ensure that the number and
value of securities issued is accurate
Filing
• Physical filing by client
• Scanning documents and digital filing by client and topic
• Co-ordinating couriers and assisting with mail (e.g. postage, name
and address, etc.)
QUALIFICATIONS AND SKILLS
• Previous book-keeping, accounting and administrative experience in a
high-paced and asset development focused non-profit environment
• Experience with Quickbooks and Sage 50/Simply Accounting is an asset
• Strong organizational and data management abilities
• Ability to follow established protocols, but demonstrate flexibility
to adapt to interruptions
• Diligence and strong attention to detail
• Strong math and problem-solving skills
• Ability to work with spreadsheets with large amounts of data and functions
• Social finance and community investment structures is an asset (e.g.
investment terms, return on investments, equity vs. debt, etc.)
