Plan International has been working in Rwanda
since 2007 with a major focus on four country programs:  Right to Access
Quality and Inclusive Education, Right to Early Childhood Care and Development
through United Communities, Right to Youth Economic Security through Active
Citizenship and Right to Protection. Plan currently operates in Gatsibo,
Kayonza, Rwamagana, Bugesera and Nyaruguru. Plan International Rwanda has
recently entered into partnership with UNHCR as partner implementing Sexual
& Gender Based Violence Responses and Child protection in all Refugees
Camps across the country.
Plan has a strict child protection policy and
guidelines that all staff must follow at all times. All staff are expected to
help ensure all Plan associates know, understand and follow these and take an
active role in the protection of all children from abuse and
exploitation. 
To facilitate the implementation of its
activities, Plan International Rwanda is inviting applicants from suitably
qualified Rwandan nationals to fill the following vacant position:

Sponsorship data entry Clerk  
Level: Grade
B

Duty Station: Bugesera Program Unit

Job summary
The Sponsorship Data Entry Clerk achieves
data entry tasks with regard to sponsorship activities (individual files, gifts
and donors’ contributions) in order to keep an accurate and updated view of
resources and beneficiaries as well as to properly feed Plan International
central database.
Typical Responsibilities – Key End Results of
Position:
“What” is done and “why”, but not “how”;
include indicators for success
Key Sponsorship related
  • Ensure
    availability and timely submission of all communications for the assigned
    monthly caseload
  • Ensure
    that all  SC files are available
  • Ensure
    that SC communications are filed within one week
  • Coordinate
    with all CDFs in opening new files for all SCs whose files are missing.
  • Ensure
    that each SC has a complete file i.e. there is no any questionnaire being
    misfiled.
  • Send
    films for development as well as receiving films from CO to be sorted
  • Keep
    on good tracking of cameras, films and batteries.
  • Acknowledge
    receipt and manages the distribution of gifts and sponsors’ contributions,
    in cash and in nature; in the latter case, care for storage.
Data Entry
● With support of various integrated data
collection systems, introduce all relevant data concerning actual and potential
beneficiaries (photographs, child’s profile, ID coordinates) in the
international database through PU server and cares for efficient filing.
● Provide Plan management and partners with
accurate, complete and updated database on beneficiaries,
● Meet Plan International quality standards
for all files.
Work in the field
● Keep at anytime the contact with volunteers
in the field in order to update the files and, when appropriate, he makes
visits on site.
● Train the volunteers in using data
collection forms properly.
● Carry Sponsorship Coordinator’s
responsibilities in case of   absence.

Educational Qualification and Experience
  • At
    least A1 education level in Computer studies, ICT or Information
    techniques related field.
  • Minimum
    2 years’ experience in similar position/work environment
  • Proficient
    in computer skills
  • Communication
    skills
Skills Specific to the Post
  • Proficiency
    in integrated data collection systems
  • Ability
    to work under pressure and do multi tasks
  • Excellent
    Communication and writing skills
  • Computer
    knowledge- Microsoft word and excel required
  • Good
    team player
