Responsibilities
Plan International’s Global
Gender Equality
and Inclusion Team is looking for a dynamic Executive Assistant
to support the team and Because I am a Girl work through administrative,
logistical, research and communications support. This role is located in
Toronto, Ontario. The role includes:
- Administrative, organizational, and logistical support,
including budget management, coordinating with couriers, printers and
other office supply vendors, organizing meetings and workshop logistics,
managing office space and other tasks as required. - Support the Global Gender Equality and Inclusion Advisor
in an executive assistant capacity by preparing meeting materials,
organizing logistics, managing email, arranging appointments, undertaking
research, ensuring time management of schedule, and providing
demand-driven assistance when needed. - Work with the Global Gender Equality and Inclusion
Advisor to manage budgeting systems, including tracking of financial
expenditure. - Supporting the Canada-based gender equality and
inclusion team members through travel management, including flight and
hotel bookings and processing of expense claims. - Manage Plan’s digital gender databases including the
Because I am a Girl (BIAAG) Programme Source, Plannet gender page and gender
capacity Human Resource maps through ongoing database management, ensuring
resources are up to date and well communicated across Plan offices. - Take part in the annual gender strategy review process
with assistance in data cleaning, preparation of data tables, formatting
report, preparing report power point presentations. - Provide editorial / proofreading work for various
documents and reports produced by the gender equality and inclusion team,
ensuring high quality, edited documents. Support the gender and inclusion
team with research and formatting of relevant materials for presentations
as needed. - Provide logistical support for Plan’s annual meeting of
gender and inclusion experts: the Global Gender Equality Reference Group. - Support the effective functioning of the Global Gender
Equality Reference Group (GGERG) and Global Gender Network. Communicate on
gender equality and inclusion across Plan-by sending out key resources to
Plan’s global gender network, and by liaising with key staff, and follow
up on the Global Gender Equality Reference Group task teams. Represent the
gender and inclusion team when necessary in email, telephone and in-person
communication as a main point of contact for outside inquiries and partner
support. - Liaise with colleges/universities to identify interns
and help to coordinate the recruitment process - Submit and track all consultancy invoices to
Headquarters Finance and prepare contracts under the supervision of the
Gender Equality Research and Campaigns Officer.
The designation of work is as
follows (these are approximate):
Administration and logistical support: 60%
Research and writing in the preparation of presentation materials: 15%
Because I am a Girl Programme Source Database Management 15%
Varied Because I am a Girl campaign support: 10%
Skills/ Experience/
Qualifications
- Understanding of gender and development issues as well
as children’s rights. - Ability to multitask and meet various deadlines in a
fast paced environment. - Experience in administrative and office work.
- Experience managing budgets.
- Detailed oriented.
- Self-motivated, able to take initiative and able to work
independently. - Efficient in Microsoft Office, including Excel, Word,
PowerPoint, and Outlook. - Experience using Skype and other systems used for
conducting meetings (Illuminate, teleconference). - Efficient in organizing internal databases and
listserves. Previous experience managing websites, including using
Sharepoint, is an asset. - Strong writing and research skills, particularly in
gender equality, with an ability to synthesize material. - Experience in project management is an asset.
- Educational background in International Development,
Gender or Women’s Studies, Social Sciences (minimum BA degree). - 1-2 years of professional/volunteer work experience
(evidence of professional interest in gender equality and development). - Evidence of interest in pursuing a career in gender
equality and development. - Fluent in English (both written and verbal). French
and/or Spanish language skills an asset.

Because I am a Girl
(BIAAG) is Plan’s
campaign to fight gender inequality, promote girls’ rights and lift millions of
girls out of poverty. Across the world, girls face double discrimination due to
their gender and age, leaving them at the bottom of the social ladder. Girls
are less likely to go to school or have access to medical care, and are more
likely to be deprived of food. They experience more violence and sexual
harassment and are forced to work hard on domestic chores, limiting their
opportunities to develop.
