Ottawa Biosphere Eco-City Administration Team Lead, Secretariat Job Vacancy in Ottawa, Ontario

Position Concept
This position will provide oversight of BEC’s administrative functions including Communications, Outreach, and Volunteer Management and will assist with the general functioning of the Council.

Responsibilities

Secretariat (1 hour per week)
• Maintains organizational corporate records
• Responds to requests for information / documentation from fellow volunteers and stakeholders
• Maintains the organizational list of contacts (Council Members, BEC Members, Contacts, Partners, etc.)
• Attends monthly NCEN meetings as BEC’s representative

Administrative Team (~2 hours per week)
• Supervises and provides guidance to a team of three (3) to ten (10) volunteers
• Sets agendas, organizes and facilitates team meetings (one (1) meeting per month)
• Assists volunteer team members with priority setting in accordance with the mission and vision; follows up to ensure deadlines are met
• Prepares reports on Administrative Team activities for the BEC Council’s review

BEC Council (~2 hours per week)
• Sets agendas, organizes and facilitates Council meetings (one (1) meeting per month)
• Researches and establishes contacts with organizations that can provide free meeting spaces
• Consults on issues of governance

Supervision
• The Team Lead, Secretariat reports directly to the BEC Council

Qualifications
• Experience leading a team
• Experience with volunteer management and/or coordination
• Demonstrated exceptional organizational and time management skills
• Demonstrated leadership and interpersonal skills
• Ability to commit to at least one year as a volunteer
• Bilingualism is an asset
