Ensures the proper functioning of ONFC’s inbound freight, customs clearances
and landed cost maintenance. This position will work closely with the Inbound
Freight and Costing Associate (IFCA). Supports ONFC’s efforts to become a
leader in sustainable supply-chains, local foods and co-operative networks.
This position has the potential to turn into a permanent full time role at the
end of the 1 year contract.
With regards to inbound freight:
* Using the PO tracking screen, arranges carriers for orders placed by
Purchasers and co-ordinates delivery dates with the DC Associate in order to
meet ONFC product demand.
* Reviews and approves inbound freight invoices to ensure proper costs and
terms were met
* Enters all freight expense data into the appropriate spreadsheets
* Ensures all new products and freight-cost revisions are set-up
* Supports the review of freight costs to ensure accurate costing in Landed
Cost module while working with ONFC publication schedule
* Supports performance appraisals with carriers, seeks improvements and
investigates new sources of service
With regards to customs clearances:
* Ensures that all orders crossing the Canadian border have appropriate
paperwork prepared and forwarded to the relevant bodies
* Generates and submits paperwork not prepared by the vendors
* Supports vendors with customs invoices and NAFTA paperwork
* Enters all brokerage and duty rates into the appropriate spreadsheets
* Conducts regular checks of customs documents to meet due-diligence requirements
* Supports the timely creation of adjustment documents (B2s) as needed while
avoiding duplication with work undertaken by customs broker
* Receive and file detailed adjustment forms from Canadian Border Services
Agency
* Support audits and administrative checks requested by Canadian Border
Services Agency
* Supports performance appraisals with Customs Broker, seeks improvements and
investigates new sources of service
* Ensures that NAFTA Certificates of Origin are properly prepared and filed in a
timely manner to meet blanket periods
* Reviews e-bulletins from customs broker and Canadian Border Services Agency
* Participates in appropriate seminars and webinars
* Creates and maintains data base of contacts
* Creates and improves system, with other stakeholders, as required
With regards to the maintenance of landed costs:
* Ensures that all new items and revised costs are set-up in the appropriate
modules so that all costs are reflected accurately.
* Supports the review of costing modules to ensure that existing data is
complete and accurate.
With regards to handling complaints and recalls:
* Suggest improvements for procedures
* Investigate and record all complaints related to product quality
* Initiative the recall procedure when requested by a vendor and/or CFIA
* Monitor the effectiveness of recall processes and quality control activities
(e.g. ensuring that sequestered product is not put back into regular stock)
With regards to the development and maintenance of metrics:
* In conjunction with the Purchasing Manager, develop performance metrics to
record the level activity in each functional area mentioned above.
* Occasionally review chosen metrics and revise as required
With regards to projects and compliance checks:
* Undertake annual collection of NAFTA Certificates of Origin
* Undertake semi-annual survey of vendors to determine allergen risk
* Undertake annual survey of product country of origin
* Undertake detailed canned goods inspection with each imported shipment
* Supports data entry for the implementation of a new ERP system
With regards to general purchasing team support
* Takes on tasks (i.e. purchasing) as required to ensure the smooth functioning
of the team during staff absences
With regards to supply-chain innovations — supports inter-team projects
related to:
* Green logistics
* Local food initiatives
* Development of co-operative supply-chains
QUALIFICATIONS
* University or College graduation, two years of related logistics experience –
or an equivalent combination of education and experience.
* Familiar with co-operatives and trends in the natural food industry – as well
as the broader food security sector. CITT certification or willingness to work
towards certification.
* Able to read and understand documents such as business and financial journals
and procedure manuals.
* Ability to communicate effectively with customers and other employees.
* Good listening skills.
* Familiar with inventory management and logistics applications.
* Able to learn new applications.
* High level of competence with Microsoft Office tools — especially Excel.
* Familiar with open-source collaborative applications an asset.
* Strong problem-solving skills.
* Strong attention to detail.
* Very organized. Goal oriented.
* Fast learner and able to adapt readily to change.
* Able to work well in a team environment as well as individually.
