Project Assistant – Lilongwe – National Council for
higher Education

To strengthen its administrative and coordination role in the SDP, NCHE is
seeking a suitably qualified and experienced person to fill the position of a
Project Assistant


The SDP comprises 2 components
Component 1 is governed by a Technical Committee which is chaired by NCHE and a
Steering Committee which is chaired by the Ministry of Finance
(The Treasure) Component 2 is implemented by NCHE and comprises of providing
the Technical Assistance under SDP

Project Assistant is responsible for assisting the SDP Project Coordinator and
Project Implementation Specialist in the management of project activities and
the preparation of reports for review and monitoring by the Project Review
teams, the Technical Committee and the Steering Committee

Assist in coordination and organisational support to the project, Assist in
managing the logistics of and coordinating content development for meetings,
conferences, workshops, trainings, and other project-related events, Prepare
letters/email as directed by the SDP Project Coordinator for communicating with
project partners and stakeholders for project activities, to optimise access
and to ensure timely organisation and facilitation of activities relating to
project implementation, Assist in follow up with the implementing partners and
sub-contractors for progress reports, submission of reports and recent data on
target indicators and other relevant information material, assist with the
design, development and dissemination of project status and report, Assist in
arranging programs for in-coming and out-going official missions, make
appointments with stakeholders, including logistical arrangements and
secretarial assistance, Support project and event
planning and implementation with preparation of budgets of different activities
according to the needs, Assist in coordination and monitoring of project
activities and budgets and Conducts any other activities that are directly
linked to the SDP and contribute to the work objectives of the Project
Implementation Specialist and the Project Coordinator

24 months with possibility to extension upon successful performance appraisal
assessment

Proper filing of all project documents, Timely arrangements of required logistics,
Timely preparation and distribution of project meeting minutes, Timely
schedules of project meetings

Bachelors degree in Business Administration, Social Sciences, Public
Administration, Project Management, Accountancy, Marketing or any relevant
first degree

Minimum of 3 yrs experience in Office management, Administrative or Logistics
related activities, Excellent computer literacy with Microsoft Office
applications, including Word, Excel and Power Point and other Statistical
Analysis Applications, Very good report writing skills and presentations in
English, Good data organisation skills and analysis using Excel, Good budget
planning skills
