Duties and responsibilities
Qualifications
Administrative Assistant to Minister
– Maintain an efficient filing system that ensures safe custody and easy retrieval of official documents and dossiers;
– Receive and respond to incoming calls in an appropriate manner, by either providing the required information or referring the caller to the Minister or other relevant Officer of the Ministry;
– Receive all visitors coming into the Minister’s office, respond to them or refer them to the Minister or other officers of the Ministry as appropriate;
– Record files and documents returned by the Minister;
– Prepare and dispatch official letters and other correspondence as instructed by the Minister;
– Organise the Minister’s diary; keeping it updated with appointments and key events, in consultation with the
Advisor and keeping the Minister informed of all upcoming events;
– Draft letters as per the Minister’s request.
– A0 in Public Administration, Management or
– A1 in Secretariat with 3 years working experience.
– Competences in Computer Skills especially, Word ;
– Good Communication Skills and Fluency in English.
