HUMAN RESOURCE OFFICER
(Kuala Lumpur)
Responsibilities:
• Provide support to HOD to oversee all HRMA related work
• Ensure payroll is made accurately and in a timely manner and payment slip is distributed to the staff
• Maintain employee records, monitor staff attendance and keep all records including the time-off and annual leave in cooperation with Administration Assistant. If necessary, investigate and understand causes for staff absence
• Assist in providing advice and recommendations on disciplinary actions
• Ensure that accurate job description are in place
• Provide staff with the necessary information on HR matters and policies of MERCY Malaysia including remuneration issues, benefits, employment standards, workers compensation and labour standards.
• Research and monitor human resource systems in other organizations
• Work closely with departments and assist staff to understand and implement policies and procedures
• Keep all Performance Management System (PMS) original forms and provide advice and information when staff conduct the PMS sessions
• Ensure recruitment process based on MERCY Malaysia policy including preparing advertisements, checking application forms, shortlisting, arranging interviews and selecting candidates. Prepare, develop and implement procedures and policies on staff recruitment. Conduct reference checks on possible candidates.
• Assist in developing and implementing policies on issues such as working conditions, performance management, equal opportunities, disciplinary procedures, absence management and package for the staff based in the countries outside of Malaysia
• Issue various types of letters and documents related to HR matters including contract
• Provide support to developing HR planning strategies which consider immediate and long-term staff requirements in terms of numbers and skill levels
• Advise on training and staff development opportunities and organize staff training and development opportunities
• Provide basic counseling to staff who have performance related obstacles
• Provide staff orientations
• Perform other related duties as required
Requirements:
• University level qualification but previous experience will be considered in lieu of this
• Proficiency in written and spoken English and Bahasa Malaysia
• Minimum experiences in HR field
• Well versed in prevailing HR practice and legislation
• Good interpersonal skills
• Ability to work in a team and work independently
