Assistant
The
Friends of the Ottawa Public Library Association (FOPLA) is seeking qualified
candidates for the position of Finance Assistant (FA). Qualified candidates
possess strong organization skills and a high degree of initiative, work
autonomously, and are able to prioritize tasks.
Responsibilities:
Financial
Accounting and Support
·
Enter all deposits, disbursements, a

ccounts receivable and payable, and journal
entries using QuickBooks accounting software; perform month-end and year-end
closing.

·
Prepare cheques with documentation for signing; make deposits; maintain Excel
and paper financial files.
·
Reconcile incoming revenue reports and communicate with FOPLA Local Committee
representatives and the Library Account Manager.
·
Prepare payroll documents for third-party provider;
·
Analyze monthly trial balance for anomalies.
·
Provide monthly financial reports to the Treasurer, with comparisons to budget.
·
Process the bank reconciliations and prepare monthly Balance Sheet account
reconciliations.
·
Prepare tax receipts for donations and memberships.
·
Prepare and organize the audit working papers for the Treasurer’s review in
preparation for the annual financial audit, and respond to auditors’ requests.
·
Process and track volunteer reporting.
·
Perform all administrative tasks related to the FA position, and assist the
Communications Officer with other core administration.
The
FA is funded for 15 hours per week, $19,200 – $22,000 commensurate with
experience. The working schedule may be flexible based on requirements and
deadlines, the availability of the volunteer Treasurer, and the timing of Board
meetings.
Qualifications:
The
following are necessities for the successful candidate:

Knowledge of accounting principles and experience with accounting procedures
and financial reporting

Experience with accounting software is a must.

Superior skills in MS Excel.

Self-motivated: ability to prioritize and work independently with minimal
supervision to meet deadlines.

Excellent interpersonal, teamwork, and verbal communications skills

Ability to maintain confidentiality.
The
following are desirable for the successful candidate:

Experience with QuickBooks is preferred.

Skill in other MS Office applications including Word and PowerPoint.

Work experience in a not-for-profit environment.

Work experience with volunteers including directors and officers of the Board.
