Me
to We is seeking a Coordinator to join the Corporate and Family Engagement Team
to take ownership of
trips logistics and coordination for Me to We’s adult, family, and corporate
travelers. The successes candidate will liaise closely with the Corporate and
Family Engagement team

who sells Me to We trips and the Me to We and Free The
Children teams in Kenya, India and Ecuador who deliver the volunteer adventure
experience in country. The Corporate and Family Coordinator works to build
relationships with travelers and ensure they are informed, excited, and
honoured throughout the pre- and post-trip process, once a trip is secured. The
successful candidate will exhibit consistency, attention to detail and
professionalism in all elements of their work and when liaising with all
stakeholders. A minimum two-year commitment is required.**

Responsibilities:
Operational Responsibilities and Trip Logistics
Proportion of Time Spent 70%
  • General
    trip operations following sale of trip: i.e. confirmation of bookings,
    processing payments, obtaining registration paperwork from trip
    participants, etc.
  • Regular
    communication with external adult, family and corporate travelers to
    ensure that all requirements and information is collected in a timely
    matter, deadlines are met, and questions are answered, developing
    professional and trusted relationships with stakeholders
  • Maintain
    a consistently high standard of customer engagement and relationship
    building with maturity and professionalism, focusing on high-touch
    relationships and meaningful conversation.
  • Regular
    communication with internal teams in Kenya, India and Ecuador to ensure
    that all pertinent information is accurately communicated, allowing for
    seamless delivery of the trip experience.
  • Update
    and utilize client management and other software and systems with
    consistency and accuracy, including systems such as Basecamp, Salesforce,
    Client Majic and TravCom.
  • Ensure
    use of standardized trip itineraries forms and costing sheets.
  • Sell
    airfare and RBC Insurance to trip participants
  • Answer
    clients’ FAQs prior to trip departure
  • Support
    the Corporate and Family Engagement team by tracking deadlines and
    logistics for trips and departures, including setting up reminders,
    flagging key dates for payments, and tracking departing and returning
    trips.
  • General
    administrative duties and data collection and input for client files and
    special projects, including invoice generation, Me to We Volunteer
    Adventures newsletter mail-out, etc.
  • Liaise
    closely with Me to We Corporate and Family Engagement team on trip and
    client files
  • Use
    Salesforce reporting as a tool to measure goals, success and personal
    progress, as applicable
  • Finding
    personal satisfaction in activities and responsibilities available in the
    job; enjoying the essence of administrative and coordination work,
    embracing and cultivating the Me to We culture.

Proportion of Time Spent 30%
  • Establish
    customer satisfaction and loyalty with our existing clients through
    post-trip follow up, supporting travelers through continued engagement
    with Me to We and Free The Children, and seeking referrals for future
    trips engagement.
  • Attend
    We Day, host events, and speaking engagements for the purpose of
    networking and promoting Me to We Trips (possible evening and weekends),
    generating interest and prospects
  • Support
    the Corporate and Family Engagement team in presentations, pre-departure
    sessions and information nights, pitching volunteer trips to new and
    existing adult, family and corporate clients
  • Support
    with the set up and delivery of client events and information sessions.
