managing all staff records and files and ensure effec

human resource policies and programs to new staff as needed to ensure smooth
and efficient operation of the department.

Recruitment/New
Hire Process
Hire Process
- Participating
in recruitment efforts, coordinating communication with candidates and
scheduling interviews. Ensuring background and reference checks are
completed, and feedback given to all candidates regarding the hiring
status. - Assist
in onboarding of new staff by preparing offer letters of engagement for
new employees, ensuring all documentation is completed and submitted for
employee file. - Creating
of new employee files. - Conduct
initial Orientation to newly hired employees and ensure all onboarding
requirements are provided including staff identity cards, workstation,
laptops, business cards etc. - Serve
as a point person for all new employee questions.
Payroll
and Benefits Administration

- Manage
staff leave, keeping record of all staff leave requests and ensure
implementation of the related application forms in existence. - Facilitating
resolutions to any payroll errors. - Assist
in payroll preparations by providing relevant data (absences, bonus,
leaves, etc.
Record
Maintenance
Maintenance
- Maintaining
current HR files and databases-compile and update employee records(hard
and soft copies) - Maintain
records related to grievances, performance reviews, and disciplinary
actions - Perform
file audits to ensure that all required employee documentation is
collected and maintained as per Employee checklist. - Tracking
probationary employees and updating line managers with the end of
probation status for confirmation and official contract. - Completing
termination paperwork and assisting with exist interviews
General
HR Support

- Coordinate
HR projects (meetings, training, employee engagement activities, etc.) and
keep record for Department reference. - Properly
handle employee incoming queries/requests/complaints regarding human
resources issues, and grievances and ensure prompt resolution of all
queries. - Work
closely with the HR team and assist with day to day operation of the HR
functions and duties. - Any
other duties as may be assigned by the Supervisor.
Competencies/Attributes:
- Must
be adept at problem-solving, including being able to identify issues and
resolve problems in a timely manner - Must
be able to communicate clearly, both written and orally, as to communicate
with employees, members of the HR management team, and in group
presentations and meetings - Must
be dependable, able to follow instructions, respond to management
direction, and must be able to improve performance through management
feedback - Fair
understanding of the Rwandan Labor Laws. - Must
possess strong interpersonal skills and excellent organizational skills
Qualifications:
Education/Knowledge/Technical Skills and Experience:
Education/Knowledge/Technical Skills and Experience:
- Bachelor’s
Degree in Human Resources Management, Business Administration, Management,
or related field. - Minimum
2 years of work experience required. Proven experience as an HR Assistant,
staff assistant or relevant HR/Administrative position. - Computer
literacy (MS Office, in particular) and hands on experience with an HRIS
or HRMS is an advantage.
