Background
Aegis Trust
is an NGO whose aim is to prevent crimes against humanity and manages Kigali
Genocide Memorial. Besides managing the memorial, Aegis Trust has several
programmes including Education program, the Genocide Archive of Rwanda, Social
Enterprises and Social program. Aegis Trust is seeking to hire qualified,
dedicated and experienced nationals to fill the Vacant position.

General
Description:
To provide
front-line services for Aegis Trust Rwanda Kiyovu Office, receive and screen
calls in a professional and proactive manner.
Key
Responsibilities
- Incoming
calls, ensuring that calls are responded to not more than 2 rings. - Greet
person entering establishment, determine nature and purpose of visit, and
direct or escort them to specific destinations. - Make
outgoing telephone calls when required. - Review
monthly telephone bills and apportion the telephone bills according to
user departments. - Receive
and attend to visitors whilst they await appointments. - Receive
documents delivered to the office and ensure that they are distributed to
their respective addressees. - Perform
administrative support tasks (proofreading, transcribing handwritten
information etc. - Receive
messages for staff members and transmit them to relevant staff members
timely. - Notifying
the maintenance officer/IT immediately of any problems with the telephone
lines or with the operating system. - Ensure
that the reception area is kept neat and tidy so as to maintain the good
image of the Organization. - File
and maintain records. - Perform
any other task as assigned by the supervisor.
The
following knowledge, skills and abilities are required through a combination of
formal schooling, self-education, and prior experience or on the job training.
- Must
have a bachelor’s degree in Business studies, Management, or social
studies. - Should
have 3 years work experience - Must be
proficient with English Language, both spoken and written and French would
be an added advantage. - Should
have excellent interpersonal skills - Should
have excellent communication skills - Should
be computer literate in Microsoft Word, Excel and other software packages - Must be
able to communicate in a cross-cultural environment
