Job Description:
Administration
Takes responsibility in term of efficient office management
Liaise with governmental institutions and partners
Makes payments to suppliers
Preparing agendas and make arrangements for meetings
Compile, transcribe and distribute minutes of meetings
Preparing responses to correspondence containing routine inquiries
Archives, organizing and maintaining of paper and electronic filing
Research, draft or abstract reports
Maintain procedures manual to ensure consistent performance of routines
Welcome Desk
Organize departure and arrival of SDC visitors and staff
Make travel arrangements (hotel bookings, flight reservations etc.)
Purchase Air Tickets, prepare and proceeds UNMIL flight request
Prepare itinerary, trip file and supplies
Visas for expatriate staff: assisting in the application procedure & updating list of visa validity
Diplomatic cards: assisting in the application procedure & updating list of validity
Support to the Management
• Organizing meetings and visits
• Keeping schedules and answering to meeting requests
• Keeping follow-up lists and proposing actions when needed
• Preparing correspondence, mails, Note Verbal
Human Resources
Maintaining employee files and the HR filing system
Assisting with the day-to-day efficient operation of the HR office
Maintaining local staff attendance time sheet
Calculating and controlling local staff leave & overtime
Assist other employees in obtaining job related official documents (police clearance, health certificate, visa)
Interpret administrative and operating policies and procedures for employees
Management
Directs and supervises the Administrative & Consular Assistant and the Office Assistant
Job Requirement:
Specific Qualifications:
•University Degree (Bachelor or Master) in Administration
•A minimum of ten (10) years of experience with proved supervising skills in a senior position is a must
•Managerial responsibility and leadership
•Experience in dealing with Expatriates
•Excellent interpersonal skills and strong organisational and planning skills
•High level of computer skills, including Word, Excel, Outlook and Internet
•Good writing and communications skills in English
•Experience with a Donor Agency or NGO is an asset
•Good time management and attention to details
Non-Liberian must have the required work and/or residency permits
