A glimpse at the role:

The Executive Assistant (EA) is a highly-motivated, positive, passionate and
outgoing over-achiever whose primary focus is to make things work better. You
are a natural ‘people person’ and a confident communicator who gets a kick out
of helping people and impressing them with your strong competencies, all in an
effort to get things done. Our EA provides administrative support to the owners
of RFRK and is recognized for exhibiting sound judgment, proactivity, tact,
diplomacy, organizational skills and punctuality. You work well under pressure
and are able to manage multiple tasks and priorities.

Some of the things you’ll get paid to do:
• Keep Executives organized and effective
• Daily check-ins to prioritize daily task list and ensure timely completion
• Coordinate and manage the calendars, phone messages, task lists, and
commitments
• Assist Founder/CFIO with speaking engagement preparation
• Assist Marketing team at events (some may fall on the weekend or in the
evenings)
• Coordination with stakeholders, agenda preparation, meeting room preparation
(on-site and off-site), note taking and follow-up
• Admin work (filing, archiving – electronic and paper)
• Drafting, proof-reading documents, fact-checking and researching
• Greet Clients & guests
• Make travel, meeting, event, or other personal/family arrangements

Required Education and Experience:
• Completion of college or university degree
• Minimum 3 years of experience in a similar role
• Proficiency with Macs, MS Word, Excel, PowerPoint, Google Apps, Prezi
• Valid Ontario Driver’s Licence in good standing

Skills and Personal Attributes:
• Excellent verbal and written communication skills in English
• Able to professionally interact with internal and external stakeholders
• Able to think critically, problem-solve and make effective decisions
• Demonstrated ability to handle confidential information in a professional and
ethical manner
• Motivated to improve current work practices and take ownership of
responsibilities
• Experience in event coordination a plus
• Able to work in a fast paced environment and manage multiple priorities

Nice-to-haves:
• Bilingual in French a very strong asset
