Position Overview
The
Warehouse & Logistics Coordinator (WLC) is responsible for ensuring that
both the warehouse and campus logistics are run efficiently according to the
standard operating procedures, as well as to ensure that the online inventory
management system is kept up to date on a daily basis. Furthermore, it is the
role of the WLC to also ensure that logistics and other store keeping needs
throughout the campus are run efficiently.

- Oversee the
set up of UGHE’s brand new warehouse - Coordinate
deliveries for the racking, plus other warehouse items and supplies - Create
the systems and reporting forms to be implemented in the warehouse - Write
the warehouse technical manual and standard operating procedures - Manage the
receipt of all major incoming shipments and relevant logistics — both
international and local shipments - Assist the
procurement team with all final procurement and necessary logistics for
the campus outfit and operations (ie coordinate the receipt of all
furniture deliveries, assist in the major campus outfit process, etc.) - Receive
training in our online inventory management system which will be under the
main responsibility of the WLC; begin to use that system for receiving and
distributing all orders.

- Coordinate and
supervise the activity of the warehouse and overall campus logistics - Assume full
responsibility for the warehouse and its contents - Manage all
stock in coordination with stock owners, both on the physical management
side and the administrative - Ensure that
all necessary tools and management procedures are in place in order to avoid
losses, excess stock, mismanagement of goods, etc. - Ensure the
warehouse is organized, clean, orderly and secure on a daily basis - Ensure that
all goods are stored appropriately for their required storage conditions
(ie cool storage, biohazardous material, food products, etc.) - Communicate
with all necessary parties about stock received and stock distributed - Update the
online inventory management system on a daily basis - Conduct a
monthly random physical inventory of the warehouse cross checking against
stock cards and the online inventory management system - Conduct a full
physical inventory each quarter ensuring that all stock cards and online
inventory management system are updated accordingly - Act as the
lead during the receipt, cross checking and arrangement of all goods
received, communicating in a timely manner to the necessary parties should
there be any discrepancies on the packing list and goods received (or
damages) - Coordinate
deliveries as requested throughout campus - Coordinate on
all campus logistics as needed or requested by the Campus Operations
Manager - Assist in
other logistics or storekeeping needs throughout campus (ie food storage,
campus store, cafe, etc.) - Implement
systems to manage campus logistics and continue to improve them over time
Qualifications
- 5-7 years
experience in warehousing and logistics required - Bachelor’s
degree preferred; background/interest in supply chain, operations,
procurement and logistics, and/or global health desired - Ability to
live in Butaro full-time beginning in October (including most weekends)
required - English and
Kinyarwanda proficiency required - Ability to
work independently and take initiative; must be a quick learner, able to
multi-task and easily adapt to changing circumstances - Advanced
organizational skills and capacity to handle multiple assignments and meet
deadlines with attention to detail and quality - Ability to
effectively work on a team in a complex, fast-paced environment - Computer
skills in word processing, database, and spreadsheet programs; proficiency
in Microsoft Office or Google G Suite applications - Exceptional
interpersonal skills including ability to interact professionally with
culturally diverse staff, partners, and clients - Demonstrated
maturity and judgment - Passion for
social justice and desire to contribute to global health education
