Games – Torch Relay
Pan American Games are the world’s third largest international multi-sport
Games; they are only surpassed in size and scope by the Olympic Summer Games
and the Asian Games.
The first Pan American Games were held in Buenos Aires, Argentina, in 1951 and
the inaugural Parapan American Games were held in Mexico City in 1999. Both the
Pan Am and Parapan Am Games are held every four years for the athletes of the
41 PASO member nations in the year preceding the Olympic and Paralympic Summer
Games.
While the Pan Am Games have been hosted in a dozen countries throughout the
Americas, Canada has had the honour of hosting them twice; in 1967 and 1999 and
both times in Winnipeg, Manitoba.
In 2015, Toronto will be the proud Host City of the Pan Am and Parapan Am
Games.
The TORONTO 2015 Torch Relay for the Pan Am Games will be a 41-day journey that
will share the Pan Am spirit in more than 130 communities. Deeply rooted in
history and tradition, the Pan Am flame will be lit in May 2015 during a
traditional ceremony in Teotihuacan, Mexico, before it travels to Canada.
The torch relay will start in Canada on May 30, 2015, and will make its final
stop on July 10, 2015, at the Opening Ceremony of the TORONTO 2015 Pan Am
Games.

COORDINATOR, CELEBRATIONS
(February 2015 – August 2015)
The TORONTO 2015 Pan Am/ Parapan Am Games will be the largest multi-sport Games
Canada has ever hosted. Next year, the spotlight will be upon us all as we host
the TORONTO 2015 Pan Am and Parapan Am Torch Relay. The torch relay is one of
the most exciting events that sets the stage leading up to the Games. It is a
moment that all Canadians should be proud of and an opportunity to bring people
and communities together – a chance to inspire, engage and unite us all.
General Accountability
The Coordinator, Celebrations is responsible for assisting with overall
planning, operations and execution of international, national and provincial
celebrations, events and special events for the TORONTO 2015 Pan Am and Parapan
Am Torch Relays. This position will plan, assist with and deliver all relay
events including, but not limited to, day and evening celebrations, community
celebrations & relay stops, sponsor stops, Day 1 celebrations, Canada Day
activities, Toronto celebration gaps, school events and special events.
The Coordinator, Celebrations assists the Manager, Celebrations with the
development, scope of community celebrations including infrastructure, content,
program, entertainment, footprint and production. This position will work with
all relay functions in particular route operations, partner relations,
transport & logistics and torchbearer program. The Coordinator,
Celebrations will coordinate personnel in the relay celebration team.
The Coordinator, Celebrations is based in the TO2015 office, with extensive
travel required during the six week period of the Pan Am Torch Relay and one
week Parapan Am Torch Relay. This is an evolving position and responsibilities
may shift over time.
Key Job Responsibilities
• Plan, coordinate and deliver all aspects of the relay celebrations including
infrastructure, staging, audio, visual, collateral, overlay, run of show,
speakers, formal program, entertainment, artist aspects, production/stage
management;
• Coordinate sourcing of all relay celebration assets, infrastructure,
entertainment, including maintenance, transport and logistics;
• Coordinating speakers at community celebrations, community events, special
events and after hour’s events;
• Coordinate entertainment and community groups on celebration content;
• Coordinate emcees to host the relay celebrations and community events,
including scripting;
• Assist in the development of the TO2015 formal portion of the community
celebration;
• Assist with the development of celebrations plans, guidelines, policies and
procedures;
Assist in the development of part two of the Community Planning Guide;
• Approve community celebrations plans including, but not limited to,
programming, entertainment, speakers community zone & activation and
concessionaires;
• Work with partner relations on footprint, brand protection, local
contributors and formal programming;
• Work with commercial rights team to mitigate ambush marketing at celebrations
sites.
• Finalize celebration footprint/layout diagrams and load-in/out scheduling;
• Coordinate the celebration crew day-to-day activities and scheduling;
• Coordinate online content uploading for relay celebration and events;
• Work with logistic operations for the movement of celebration assets and
collateral to cities outside of Ontario;
• Performs related duties as required in keeping with the purpose and
accountabilities of the job.
• Assist Manager, Celebrations and Manager Partner Relations with the tracking,
communication and delivery of all events, assets and goals.
Working Relationship
The Coordinator, Celebrations reports to the Manager, Celebrations and will
work closely and collaboratively with the Pan Am/Parapan Am torch relay team on
the planning and delivery of all day celebrations, evening celebrations and
community events. The Coordinator, Celebrations will ensure delivery meets
TO2015 and relay objectives and goals.
Educational and Technical Requirements
• Must have event production experience; technical knowledge of staging,
lighting, audio and video equipment;
• Working knowledge of event operations and sponsor relations;
• 2 – 3 years + in large scale community events;
• Good knowledge of Canadian geography;
• Proven project management with emphasis on timelines & delivery;
• Excellent tracking of schedules and finances;
• Proven skills consistently communicating plans and policies;
• Experience with MS Office applications and database administration;
• Canadian Driver’s Licence;
• French and Spanish desirable.

• Proven coordination and leadership skills in a fast paced, multi-level
project;
• Experience with public speaking and event hosting an asset;
• A positive and team focused attitude, showing initiative and a flexible
approach;
