REPORTING TO: SPONSORSHIP FACILITATOR
LOCATION: VARIOUS
PURPOSE OF POSITION:
Maintain and update Sponsorship Diskette (SD) and sponsorship database for easy sponsorship management and monitor child information between Head Office and ADP, according to World Vision Sponsorship standards.
Major responsibilities
• Ensure child photos clearly match with the photo label provided by the SD System before being loaded on CPI transfer and that right photos are matched with right children histories.
• Maintain the computer databases and child information
• Take daily and monthly back-ups and store them safely
• Read head office diskettes on daily basis and create diskettes from/to Head office.
• Create files that are to be sent to national office on a weekly basis.
• Prepare discrepancy reports and memos in order to maintain and reconcile databases.
• Carry out annual data reconciliation in line with World Vision guidelines.
• File duplicate copies of Form 1and child history forms in each child’s Personal File folders.
• Print the CCF and Child Validation form for each child then forward to the community.
• Update mail action & route code to ‘F_COM’ for ‘Received from Community’ either through Bulk Entry or To Do List.
• Read incoming NO data file in SD Plus and ensure Updates on child status are pulled to step 1 upon integration.
• Read reconciliation diskettes from National office.
• Act on produced reports and update of records to ensure discrepancies are handled for consistency with NO records.
• Generate all the required reports on Child well being outcomes indicators to inform programming.
• Hold status ageing report and project variance report by 20th of each month.
• Maintain the required filing of CSR, back-ups diskettes, form 1, 2 and 3, holds, project action report and log sheets in an up to date manner.
• Attend daily morning devotions.
• Monitor and respond to communications to and from Head Office.
KNOWLEDGE, SKILLS AND ABILITIES
The following knowledge, skills, and abilities may be acquired through a combination of formal schooling, self-education, prior experience or on- the- job training.
• Should have advanced Diploma in data processing, social sciences, rural development or related field
• Ability to handle tasks under pressure and set priorities.
• Flexibility to work beyond normal working hours.
• Should be fluent in written English.
• Must be computer literate.
• Must have at least 1 year experience in data processing/data entry, preferably within World Vision.
• Must have good oral and written communication skills.
