PURPOSE
OF POSITION:
As
a member of the Logistics Function, the Logistics and Administration Assistant
will assist in logistics at Burera Field Office.  The Logistics Assistant
will be accountable for supporting improvements in logistics function including
the supply chain, stock and asset management. The post holder will ensure
compliance with the organisation’s policies and procedures.
KEY
AREAS OF ACCOUNTABILITY:
•Ensure
that Save the Children Assets and General Programme Equipment (GPE) guidelines
policy and procedures related to assets management in Burera field office are
adhered to ensure transparency and accountability.
•Maintain
up to date information of assets register and stock of Burera field office as
per the SCI standards, and update the TiM software for its operationalisation.
•Conduct
quarterly physical verification of all assets in Burera field office;
•Tracking
and tagging organization assets across Burera programmes/partners in line with
financial/ operations guidelines
•Implement
SCI Assets and stock management guidelines in Burera field office and ensure
compliance of the same by staff and partners.
•Liaise
with other Programmes and Offices to develop an assets disposal plan and their
implementation.
•Ensuring
all incoming and outgoing stock is managed according to the Warehousing and
Stock Management Standard, Policy and Manual.
•Ensuring
the appropriate storage and physical condition of stocks according to their
specific requirements.
•Ensure
safety, security and cleanliness of items and stores/warehouse facilities.
•Ensuring
all required paperwork is completed and filed correctly so that there is a
clear auditable trail for all stock movements.
•Facilitate
payment processing of invoices while checking documents for completeness
including codes.
•Analyse,
sorting and orderly placement of items in the warehouse
•Prepare
on monthly basis and as and when required assets, GPE, stock status and
disposal reports.
•Oversee
the distribution and transportation of items to staff at Burera field office
•Order
tracking and supplier liaisons to ensure smooth delivery of items
•Process
order replacements as and when required
•Alerting
concerned Programmes when stocks are approaching minimum stock levels or
perishable goods are approaching their expiry date.
•Ensuring
all stock discrepancies/damages are properly documented, investigated and
reported to Burera field Manager and the Logistics Coordinator.
•Perform
any other tasks as delegated by the Line Manager or dotted supervisor.

QUALIFICATIONS
AND EXPERIENCE:
   
  • Bachelor
    degree in Supply Chain management, Logistics, Procurement, Business
    Administration or other related academic discipline,
  • Experience
    in Logistics and Supply Chain with an International NGO
  • Willingness
    and ability to quickly learn policies and practice and applying them in
    every day work.
  • Good
    oral and written communication skills in English and Kinyarwanda
  • Planning
    and time management skills and the ability to handle multiple priorities
  • Competent
    level skills in core IT applications, particularly MS Office,
  • A
    commitment to the values and principles of SC
