1. Background:
Right to Play (RTP) is committed to improving the
lives of children and to strengthening their Communities by translating the
best practices of sport and play into opportunities to promote development,
Health and peace.
Right To Play would like to fill the below
described vacant position for its Country Office based in Kigali.
2. Administrative Assistant/ Location : Kigali
Responsibilities
- Under the authority of the Country Manager,
the administrative Assistant will provide clerical support to the Office
Draft and/or edit correspondence, reports, e-mails (RTP Rwanda official
mail box), and other documents.
- Follow-up on significant pieces of e-mail
and other correspondence, and reply when appropriate;
- Translate in English/French every
correspondence sent by stakeholders in local language
- Serve as the primary point of contact for
the Right To Play’s office, communicating questions and concerns
appropriately (attending phone calls, welcoming visitors, etc)
- Along with the other members of the
Executive Department, model excellence and professionalism for the
organization in attire, language, attitude, and demeanour
- Maintain Office files and documents.
- Attend phone calls in a respective and
attractive way
Scheduling and Meeting Preparation
- Plan and schedule Management Team meetings
- Manage Country Manager’s calendar in a
proactive way
- Ensure maintenance of calendar based on
agreed upon priorities including scheduling time for essential tasks.
- Create and/or compile draft agendas and
briefing material for upcoming meetings.
Task Management and Meeting Follow-up Attend and take notes at meetings
- Compile and edit notes that appropriately
summarize the content of the meeting and flag relevant
follow-up;
- Ensure appropriate follow-up from all
meetings including distributing meeting notes, flagging follow-up items,
and facilitating progress on action items.
Required Skills and Experience
- Bachelor’s degree in Administration or law
studies;
- At least two years of experience providing
executive-level administrative support in a professional environment;
- High level of proficiency with Microsoft
Office (including Word, Excel, PowerPoint), and experience with
Microsoft Outlook;
- Fluent English and French oral and written
communication
- Exceptional ability in written and oral
communications;
- Superior administrative capacity to
multitask and manage detailed tasks with minimal oversight;
- Adept at providing quality customer-service
to a variety of constituencies; and
- Demonstrated ability to develop effective
working relationships and work as part of a team.
- Very proactive
