2. Job summary
This contract position
carries out a wide variety of administrative related support activities.
Reporting to the Country Manager, the ideal candidate for this position must
possess strong administrative and organizational skills, an understanding and
experience of a fast moving and global environment, good attention to detail, a
positive attitude and an ability to work in a highly dynamic and energetic
team.

3. Responsibilities
In accordance with Right To
Play (RTP) approved policies and procedures, the incumbent:

A. Responsibility one: Support in administration
- Under the authority of
the Country Manager, the administrative Assistant will provide clerical
support to the Office Draft and/or edit correspondence, reports, e-mails
(RTP Rwanda official mail box), and other documents.
- Follow-up on
significant pieces of e-mail and other correspondence, and reply when
appropriate;
- Translate in
English/French every correspondence sent by stakeholders in local language
- Serve as the primary
point of contact for the Right To Play’s office, communicating questions
and concerns appropriately (attending phone calls, welcoming visitors,
etc)
- Along with the other
members of the Executive Department, model excellence and professionalism
for the organization in attire, language, attitude, and demeanour
- Attend phone calls in
a respective and attractive way
- Monitors attendance
register, staff absence requests and updates staff annual leave plan.
- Maintains the filing
systems (electronic and physical) and sensitive documents at Country
office.
- Keeps track of all
incoming mail to the office, distributes to the attention person and
drafts responses when needed.
- Updates phone lists
and distributes to the team where applicable.

B. Responsibility two:Scheduling and Meeting Preparation
- Plan and schedule
Management Team meetings
- Manage Country
Manager’s calendar in a proactive way
- Ensure maintenance of
calendar based on agreed upon priorities including scheduling time for
essential tasks.
- Create and/or compile
draft agendas and briefing material for upcoming meetings.
Time: 35 %
C. Responsibility three: Task Management and Meeting Follow-up
- Attend when requested
to and take notes at meetings
- Compile and edit notes
that appropriately summarize the content of the meeting and flag relevant
follow-up;
- Ensure appropriate
follow-up from all meetings including distributing meeting notes, flagging
follow-up items, and facilitating progress on action items.

4. Minimum Qualifications (Must have):
(A)
EDUCATION/TRAINING/CERTIFICATION:

- Minimum Bachelor’s
degree in Business Administration or Law studies;
- .At least three years
of experience providing high level administrative support in a
professional environment.
- High level of
proficiency with Microsoft Office (Including word, Excel, PowerPoint), and
experience with Microsoft Outlook.
- Fluent English and
French Oral and written communication;
- Exceptional ability in
written and oral communications;
- Superior
administrative capacity to multitask and manage detailed tasks with
minimal oversight;
- Adept at providing
quality customer-service to a variety of constituencies; and
- Demonstrated ability
to develop effective working relationships and work as part of a team.
- Very proactive
(B) EXPERIENCE:
- At least three years
of relevant experience preferably with International NGOs
(C) COMPETENCIES / PERSONAL ATTRIBUTES:
- Excellent
interpersonal and communication skills both written and verbal
