Revenue Watch Institute Temp Office Manager–Africa Regional Office Job Vacancy in Ghana

The Revenue Watch Institute seeks an office manager to oversee administration of the RWI Regional Africa office in Accra, Ghana. The regional office manager is responsible for ensuring smooth operations within the organization while upholding the institution’s mission and vision and adhering to its set standards. S/he will be
in charge of the smooth operations of the RWI Ghana office, oversee day-to-day human resources and liaise with the accountant for financial management, as well as provide general administrative support to the Regional and Francophone Regional Coordinators and other regional staff. S/he will report to the Africa Regional Coordinator based in Accra, and to the Operations and Grants Manager based in New York as appropriate.

RESPONSIBILITIES
Human Resources and Financial Management
• Ensure employees are informed of the policies, procedures and other regulations of the work place, and manage organizational issues within the company operations.
• Ensure the maintenance of a working environment that yields productivity and furnishes essential office supplies.
• Liaise with accountant to support financial management, including managing and maintaining accounts and files.

General Office and Facilities Administration
• Serve as staff point person for all general administrative and office support issues for the Ghana office. Order office supplies and handle issues with facilities, equipment, etc. Provide general support as needed to other RWI staff and/or consultants traveling to Ghana.
• Handle logistics of all major and many minor RWI-sponsored events in Ghana. Conduct research on venues and service companies, submit applications for use of space, draft budgets, negotiate venue and vendor agreements, liaise with management on planning and agenda issues, handle all travel, hotel and other logistical issues related to meetings. Receive related invoices and remit all related payments.
• Maintain accurate records of all office-related work, an up to date record of staff leave and sick calendar, and perform general clerical duties to include but not limited to: photocopying, faxing, emailing, reviewing and editing of documents, filing and record keeping.
• Serve as the receiver of mail, documents and ordered items delivered to the organization’s address.
• Initiate interventions to solve problems in the facilities.
• Coordinate with the upper management on work issues.

Support to RWI Africa staff
• General administrative support as required.
• Assist with scheduling travel and visas.
• Assist with scheduling meetings and conference calls.
• Process monthly expense reports for reimbursements.
• Taking notes and drafting reports at meetings.

REQUIREMENTS
• Minimum of three to five years experience in a professional administrative management capacity: human resources, accounts payable and/or facilities management experience strongly preferred.
• Strong fluency in Microsoft Word, Excel and PowerPoint, knowledge of Access or other software a plus.
• Bachelor’s degree or equivalent.
• Excellent English and French-language writing and editing ability; additional languages-–Portuguese in particular–a plus.
• Experience working and interacting with international personnel a plus.
• Ability to effectively manage multiple projects in a fast-paced environment and prioritize appropriately.
• Excellent organizational skills and strong attention to detail.
• Ability to work both independently and collaborate with others.
• Integrity, professional discretion and ability to handle confidential matters.
