TITLE: RECEPTIONIST – NUSAF2 OFFICES
JOB PURPOSE
To assist the Administrative Assistant in the front desk of the organization, by providing secretarial and effective interface between NUSAF2-TST staff and its stakeholders through the switchboard or front office.
KEY RESULT AREAS.
(i) Support the Organization by answering visitor
inquiries and directing visitors to relevant
offices, (ii) Receiving incoming and dispatch documents,
(normal and electronic), receiving incoming and
directing outgoing calls, (iii) Monitor incoming and outgoing clients, and
be able to report any suspicious behaviour or activity.
SPECIFIC DUTIES AND RESPONSIBILITIES
Receive, entertain and direct stakeholders/ visitors,
Receiving and sorting mails, collecting and distributing mails to respective offices, answering incoming calls,
Perform other clerical tasks like opening mail, photocopying, and filling and maintaining attendance register.
Prepare appointments, confirm receipt of mails or documents. Confirm attendance of workshops or conferences,
Perform other duties as specified from time to time.
Job requirement
QUALIFICATION
Advanced certificate in secretarial studies or Admin related field from a recognized Institution,
A minimum of Ordinary level certificate or its equivalent,
Excellence in interface and front desk behaviours,
Good interpersonal skills and ability to relate well with a multiplicity of visitors, officers etc.
Ability to work with minimum supervision.
Good command of English language
A minimum of one year’s job experience as a receptionist in public institution or project.
APPOINTMENT
Initial Term of two years (renewable upon satisfactory performance)
Probation period of 6 months
REPORTING
Report to the Administrative Assistant
