Job Purpose

To ensure the efficient day-to-day operation of OTCC, and support the work of
management and other staff.

Primary Duties and Responsibilities

Reception
• Answer general phone inquiries to OTCC using a professional and courteous
manner.
• Direct phone inquires to the appropriate personnel.
• Reply to general information requests with the accurate information.
• Greet visitors/donors/suppliers/others in a professional and friendly
manner and provide tours of the OTCC, explain OTCC history and programs.

Office Administration
• Use computer word processing, spreadsheet, and database software to prepare
reports, memos, direct mails, and other documents under the direction of the
Ops Mgr.
• Sort incoming mail, faxes, and deliveries.
• Prepare and send outgoing faxes, mail, and courier parcels.
• Forward incoming general e-mail and voicemail from the general mailbox to the
appropriate staff member.
• Code and file material according to established procedures.
• Update and ensure the accuracy of the organization’s databases.
• Back-up electronic files using proper procedures.
• Provide secretarial and administrative support to management and other staff.
• Make travel, meeting and other arrangements for staff.

Assist with Financial Management
• Use computer software to prepare invoices and financial statements under the
direction of the Ops Mgr
• Code and file financial material according to established records management
procedures
• Process accounts payable ensuring timeliness and accuracy of information
• Process accounts receivable ensuring timeliness, accuracy of codes and
appropriate backup
• Assist with financial reports as required
• Month end duties as required

Fundraising Support
• Run social media, including daily facebook posts, Twitter posts, website
content adjustment, under the direction of the Ops Mgr.
• Assist with open houses, fundraising events, direct mails and online
campaigns under the direction of the Ops Mgr.

Other Duties
• Assist with other duties as requested by the Ops Mgr, including building
maintenance, data entry, minor bookkeeping, etc.

Qualifications

Education and Experience
• High school diploma.

Knowledge, Skills and Abilities
• Passion for OTCC’s mission.
• Proficiency in use of computer programs for: word processing and
spreadsheets.
• Proficiency in use of computer programs for bookkeeping preferred but not
required, but must be willing to learn computer program for bookkeeping.
• Proficiency in the use of office equipment: computer, telephone, email,
photocopier.
• Proficiency in social media (Facebook, Twitter, website update) preferred but
not required, but must be willing to learn.
• Excellent organizational skills.
• Ability to take direction from others and to maximize continued learning.
• Self-reliant, results oriented team player who can multitask.
