Northern Uganda Agricultural Livelihood Recovery Programme (ALREP) Administrative Assistant/Secretary Job Vacancy in Uganda

The Government of Uganda has received a contribution from the 10th European Development Fund of €20 million towards the Northern Uganda Agricultural Livelihood Recovery Programme (ALREP). The Programme is intended to restore the productive capacity and livelihoods of the rural population in the sub-regions of Acholi, Lango and Teso, and as such contributes to the Peace, Recovery and Development Plan (PRDP) of the Government of Uganda. ALREP has a duration of 4 years.


ALREP is implemented under the supervision of the Office of the Prime Minister. A Programme Management Unit (PMU) operates as the technical and management support unit to OPM with Liaison office in OPM premises in Kampala and a Programme office in Gulu.

Applications are invited from suitably qualified candidates for a vacant post in the Programme Management Unit as specified below:

POST/TITLE: ADMINISTRATIVE ASSISTANT/SECRETARY
NO. OF VACANCIES: ONE (01)
AGE: 30 YEARS & ABOVE
DUTY STATION: GULU

JOB PURPOSE: The Administrative Assistant/Secretary will provide receptionist, secretarial and administrative support services to the programme office.

DUTIES AND RESPONSIBILITIES:
• Manage the day to day operations of the office, including drawing up programmes, activities and appointments, organizing the office, maintaining office tidiness and equipment;
• Provide secretarial services, including drafting correspondences, and typing and formatting reports, manuals and any other documents as requested;
• Prepare and service workshops, meetings and appointments, including making bookings and reservations, organizing materials, producing and distributing documents, making appointments and taking minutes;
• Maintain a central filing system and register of all incoming and outgoing mail and other documents;
• Perform reception duties, including receiving and serving visitors,
• receiving, sorting, and sending surface, air, electronic and postal mail, messages and parcels
• Receive and direct telephone calls and staff messages;
• Any other duties assigned from time to time by the Programme Coordinator

MINIMUM QUALIFICATION &WORKING EXPERIENCE:
• A Ugandan national with at least a Diploma in Secretarial studies or equivalent qualification from a recognized institution;
• Additional training/Qualifications in management or administration is an added advantage;
• At least seven (7) years experience in Secretarial administration in a busy office of a reputable organization.
• Experience in a development project office is an added advantage.

OTHER REQUIREMENTS:
• A self motivated, result- oriented person with impeccable integrity, and with a high sense of duty and willingness to work long and irregular hours;
• Computer literate with proficiency in MS Word, MS Excel, and MS Power-point.
• Excellent interpersonal and communication skills (verbal and written)
