Revitalization Support Project (STCRSP) in November 2011.
STCRSP specific objectives are:
(i) increase the quantity sold and price received by poor farmers for cocoa and coffee by rehabilitating plantations,
(ii) improving access to markets through rural roads rehabilitation and maintenance system development; and
(iii) strengthening Ministry of Agriculture (MOA) and/or private extension services as well as Farmers Based Organizations. The MOA wishes to recruit highly motivated project staff to implement the STCRSP and the ongoing Agriculture Sector Rehabilitation Project (ASRP). The project staff will be anchored in the Project Implementation Unit (PIU) of the MOA Program Management Unit (PMU). The incumbents will be awarded 1 year contracts, renewable every year on the basis of satisfactory performance, for a maximum duration of 5 years. The MOA now invites application for the following positions:
Purpose Of Position: To handle office administration and logistics for the IFAD-financed STCRSP and ASRP
Reporting To: Financial Controller, IFAD Project Implementation Unit (PIU)
Main Responsibilities:
• Prepare and update all staff schedules and the office annual travel plan;
• 7 Provide secretarial and administrative assistance to project staff and visiting missions; Maintain an electronic directory of project partners and suppliers;
• Welcome visitors, handle telephone calls and incoming/outgoing correspondence;
• Maintain up-to-date knowledge on project information/activities and answer general enquiries;
• Handle the monitoring, maintenance and insurance of all project assets;
• Manage office supplies and consumables and maintain records of stock inventory;
• Organize all workshops, steering committee, mission and staff meetings;
• prepare meeting minutes;
• Organize travel arrangements for project staff, consultants and IFAD/MOA mission members (including procurement of tickets, airport transport and hotel reservations);
• Create and maintain a personnel filing system to keep up-to-date records on all project staff;
• Follow up with NASSCOP to ensure that all staff members are duly registered and contributions are paid on a regular basis;
• Create and maintain a roster of individual consultants and potential candidates for temporary positions;
• File and archive all key project documents to ensure safety and facilitate easy access;
• Supervise the Office Assistant and Drivers;
• manage project vehicles and drivers’ schedules;
• Undertake any other activities assigned by PIU management
Required Qualification: Bachelor’s degree in management, administration or related field from a recognized university
Minimum Experience: Minimum of 3 years working experience in an administrative position, preferably in a bilateral or multilateral organization or a donor-funded project environment
Key Competencies: Demonstrated ability to set priorities, plan, coordinate, and monitor work performance; Ability to organize and host meetings; Self-starter, self-motivated, and a team player; and Result-oriented.
Required Skills: Excellent oral and written communication skills; Excellent clerical skills; Computer literacy with proficiency in Microsoft Office applications; Knowledge in usage of office equipment.
