International Rescue Committee UK (IRC-UK), based in London, is the European headquarters, with 30 staff supporting programmes, fundraising, policy development and advocacy, and 5 staff from IRC’s global technical units.
Due to continued success, IRC-UK has out-grown its current office space, and has, through its existing landlord, identified new premises close by, with the intention of moving in summer 2012. We are looking for an experienced project manager to work with us on a part-time consultancy basis, to design, plan and oversee the office move, to ensure it runs smoothly with as little disruption to staff as possible.
Responsibilities: Reporting to the Finance Director, this position will plan, co-ordinate and manage the office move. Specific responsibilities include:
ï‚§ Project Planning: draw up a detailed project plan, in consultation with stakeholders, service providers and suppliers, map the critical path and plan resources required, from within the organisation (e.g. UK team, IRC New York IT team), existing service providers/suppliers (e.g. telecoms and IT) and new service providers/suppliers.
ï‚§ Facilities management: support the Office Manager in defining key service and facilities management requirements for the new premises; identify and engage new service providers/supplier as required and lead a selection process in line with IRC Procurement regulations, ensure services are delivered on-time and to the agreed quality
ï‚§ Exit from current office space: manage the exit from current premises, including any work required under the lease dilapidation clause, archiving and safe disposal of documents, and arranging for disposal of surplus office furniture and equipment
ï‚§ Establish a schedule of works with the landlord: ensure the organisation’s requirements are met, co-ordinate on any additional work required, report on progress
ï‚§ Communication: provide regular updates on progress against project plan to the Finance Director, highlighting key risk areas, financial impact and critical dependencies; provide key messages to support change management across the organisation.
ï‚§ Environmental Assessment : implement the recommendations of an independent advisor on how to reduce the environmental impact of the new premises; establish monitoring systems.
ï‚§ Legal: work with IRC-UK’s solicitors to ensure due diligence is carried out on the terms of the agreement for the surrender of the lease on the current premises and the lease for the new premises; work with
IRC-UK’s solicitors on any other legal aspects , providing information as required and ensuring legal risks are minimised or mitigated.
