Role Description
Role: Executive Assistant Centre: Office of the Chair Group: Board of Directors
Group Reporting to: Chair of the Board
Team Members reporting to this role: The successful applicant will be working with the Chair and other team
members as required. This role has no one reporting directly to it formally but
can have Interns to direct.
Detail: Role:
Executive Assistant
The Executive Assistant will take on specific tasks
assigned by the Chair. These may involve following up with people on behalf of
the Chair and assisting with organizing and planning. Also, this position will
partially require administrative related tasks to ensure that the Chair is able
to focus on the leadership and vision of the Foundation.
Qualifications:
  • Must have excellent administrative and
    organizational skills
  • Must exercise good judgement and be
    responsible with handling highly confidential information
  • Must have exceptional communication skills:
    written, verbal, and interpersonal
  • Must be able to multi-task and prioritize
    effectively
  • Must be proficient and knowledgeable of
    current computer functions and online systems
Responsibilities:
  • Provide accurate reports and documents as
    assigned
  • Maintain online filing system that permits
    easy reference and rapid retrieval of information
  • Remain aware of the Chair’s schedule and
    coordinate travel and accommodation when necessary
  • Handle accounting and reports flowing from
    travel and accommodations of the Office of the Chair
  • Promptly screen and distribute incoming email,
    responding where appropriate
  • Initiate tasking as required into the ICO
    Online Office (ICOOO) on behalf of Chair
  • Maintain overview of activities in the ICOOO
  • Follow up with contacts in a timely manner
  • Represent the Chair at meetings in a
    professional manner
  • Perform additional functions as directed or
    assumed on personal initiative
  • The Executive Assistant will work closely and
    collegially with the Group Leaders and with Board Members.
Centre: The
Office of the Chair
The Office of the Chair is led by the Chair of the
Board of the Foundation who is the President and Chief Officer of the
Foundation and is responsible to the Board and Membership for the management of
the Foundation.
The Chair devolves the operational role and
responsibilities of the President to the ICO Group Leaders:
The Office of the Chair provides staff support to
the Chair and the Board:
  • Strategic and Development Analysis
  • Strategic systems development
  • Organizational Capacity Building and
    Development
  • Emergent critical issue management
  • Support as required to all ICO Operations
  • Development of Partnerships
  • Development and Implementation of allied legal
    entities
  • Legal Affairs
Within the Office of the Chair are:
  • Leader of Office of Chair
  • Capacity Building Co-ordinator
  • Emergent Issues Co-ordinator
  • Executive Assistant to the Chair
  • Project Assistants to the Chair
  • Interns to the Chair
Group: Board of Directors Group
The Board of Directors Group consists of:
  • Board of Directors
  • The Office of the Chair
The Board of Directors is responsible to the
membership and the community for InnovativeCommunities.Org Foundation
and focuses to Governance, Transparency, Strategic Planning and Overall Policy.
The Board is elected by the Members of the Foundation who are all volunteers in
active Team Member roles or who have an approved leave-of-absence for a maximum
of one year.
Special Notes:
The Executive Assistant will maintain consistent
communication with the Chair but will also be required to work proactively
without supervision. It is essential that sensitive information is handled
safely and professionally. This position will appeal to a person who is
interested in developing their professional or academic career and is
interested to be involved in a unique relationship-oriented international
organization.
The applicant should have a background or studies
in business. Preference will be given to candidates who are multi-lingual and
are comfortable in multi-cultural environments.
The Executive Assistant must have the assurance and
maturity to be able to represent the Chair in ongoing relationships with senior
executives, community and political leaders and to be able to deal
professionally with extremely sensitive issues as they occur.
Volunteer Time Required:
It is estimated that the volunteer will be required
to work 8-10 hours per week depending on work-flow and capacity. The Executive
Assistant should be available to attend either in-person or online via
video-conferencing the ICO WorkBee Cafe which currently takes place on
Wednesday evenings once a month between 6.00pm – 8.30pm in our North PArk
Office in Victoria, BC.

    relationships between people who want to make positive social change. As
    these relationships develop, people recognize that they have common
    interests and skills they can each contribute in pursuing these interests.
