Specifically, our staff offer trainings in open source tools and systems because they promote interactive communities and shared ownership. iLab hosts local meet-ups as well as local and international organizations holding events that are in-line with iLab’s mission.
Position Description
iLab Liberia has grown significantly since first opening its doors in May 2011. iLab holds between 6 and 10 events each month with an average of 30 participants per event, forms new partnerships weekly, and hosts visiting scholars and external workshops on a regular basis. With all of this activity, iLab needs a dedicated office manager to oversee daily administrative tasks, to orient iLab users during trainings and to make them feel at home, and much more. This position requires extensive experience in office management, profound knowledge of logistics and financial management, and excellent coordination and communication skills. Prior experience in logistics and management is an added advantage. He/she must have good leadership and team-building skills.
Major Duties and responsibilities
Coordination
• Coordinate the day-to-day personnel, financial, and administrative operations of the office
• Liaise with logistics officer to provide day-to-day supervision to driver, cleaner, and IT staff
• Ensure the office conforms to the existing rules and procedures on personnel, financial, administrative, security matters
• Maintain filing system of all iLab documentation and provide assistance in creating administrative documents when needed
• Make sure that office inventory, records, petty cash and auditing systems are updated
Support for iLab activities
• Keep updated calendar of iLab meetings and events and be prepared to oversee the smooth execution of all events and warm welcome of visitors
• Serve as the main point-of-contact for all iLab users and visitors and as such direct them accordingly upon each visit
• Provide descriptive overview of iLab’s mission, events and overall activities for visitors on request
Financial Management
• Work with logistics officer and executive director to manage petty cash and approve expenditures
Reporting
• Submit monthly report to executive director covering finances, security, logistics, human resources and recommendations
Other Duties
• Perform other duties as assigned
Qualifications/requirements
• University degree in Management or related degree
• Extensive prior experience, preferably with a non-governmental organization, covering the duties indicated above
• Commitment to iLab’s goals and objectives
• Excellent writing skills; the ability to communicate clearly both verbally and in writing is critical
• Team player and also has leadership potential
• Works well without constant supervision
• Highly self-motivated, proactive, innovative and eager to work
• Demonstrates proficiency with computers and information technology
• Uses sound judgment as situations require and demonstrates exemplary honesty and integrity
• Commitment to abide by high moral standards and combat corruption proactively
