Role Summary and Key duties of the position
- As the administrative and Finance assistant,
the incumbent shall be required to perform office administrative tasks
under the Finance and Administrative director, by Maintaining file systems
and procedure manuals. Liaise and process all incoming and outgoing emails
and other correspondences. - Running a petty cash account on an Imprest
system and ensuring that petty cash expenditures are realistic and
effective. - Maintain office files, take minutes at
meetings and maintain confidential records and files - Coordinate repairs to office equipment and
advise for possible replacements to the warn-out ones - Arrange for staff salary transfers and other
statutory payments. - Schedule staff meetings and direct all
relevant communications to all concerned parties.
Required Education, skills and Experience
- Bachelors’ Degree in Business
Administration-majoring in accounting & Finance, NGO management,
Procurement, and/or related field. Candidates with a higher diploma (A)
and a sounding experience can also apply. - Proficiency in written/spoken English is
required. Fluency in French.. and Kinyarwanda desirable; particular
attention will be given to ability to comprehend, speak and read English, - Excellent interpersonal skills to deal
effectively with various groups of people especially marginalized and
vulnerable populations, - Excellent organizational and computer skills.
Working knowledge of spreadsheet, database, and accounting software
program is helpful. The Finance and Administrative Assistant will be
expected to work with minimal supervision after learning basic procedures
and tasks.
